Since 1959, the USC American Language Institute (ALI) has been providing English language instruction, assessment, and resources to support the academic and professional success of non-native speakers of English pursuing degrees at USC. The ALI offers English language courses for those students who want to improve their English as well as those who are required to take classes as a result of taking the International Student English (ISE) Exam. The ALI is also responsible for testing and providing English language instruction for the university’s international teaching assistants.

The USC American Language Institute is seeking a Program Assistant to join its team. The primary role of the assistant will be to manage and support the front office operations, student worker personnel, and student programming, as well as provide process improvement project support. The successful candidate will demonstrate the ability to problem solve, think critically, and be able to adjust to a rapidly changing environment. .

This is a full-time, on-campus position working 5 days a week. This position will be scheduled to work 4 days a week from the ALI office located at 649 West 34th Street, Los Angeles, and 1 day from home.

Qualifications:

  • Excellent written and verbal communication skills

  • Attention to detail

  • Ability to work as part of a team as well as independently

  • Ability to adapt to changing assignments and multiple priorities

  • Ability to manage tasks and successfully meet deadlines

  • Previous experience working with international students or people, ideally teaching English to speakers of other languages

  • Experience using Microsoft Office, Google Suite, Adobe Suite applications; general comfort with technology

  • A student-centric attitude

  • Comfortable with public speaking

Job Accountabilities:

  • Manages all front desk administration/operations including answering the main phone line and main email accounts, managing main conference room scheduling.

  • Responsible for the recruitment, training, hiring, scheduling and day to day management of front desk student worker personnel.

  • Provides administrative support to all ALI faculty and staff including photocopy jobs, equipment purchases and inventory, classroom AV check out and return process, office and kitchen supply purchases, suite/desk key distribution, and adhoc office equipment troubleshooting.

  • Oversees student programming including conversation groups, writing lab, and ALI book clubs.

  • Organizes Student Worker Appreciation Party and other ALI faculty/staff events (lunch, holiday party).

  • Supports Testing Coordinators and ALI Program Administrator with preparing for and facilitating all department testing including removing holds.

  • Serves as liaison between faculty and course evaluation services and downloads all evaluations and distribution to faculty and staff.

  • Project support, as necessary. Projects may include process improvements, program launches, market or vendor research, etc.

  • Performs other related duties as assigned or requested.

The hourly rate for this position ranges from $24.30-$29.48.
