Job Summary:

The Procurement Coordinator will be accountable for an efficient, timely, and productive individual workload while contributing to the day-to-day performance of the Finance Department, as needed, by:

Description of Duties:

· Work with staff to complete requisitions for goods and services. Advise staff on appropriate procurement methods while considering policy, budget constraints, purchase limits, delegation of authority, board approval, and all applicable local, state, and Federal laws, rules, and regulations.

· Ensure responsible procurement practices meet Port of Galveston objectives and compliance requirements.

· Assist with drafting Requests for Proposals and/or Requests for Qualifications and coordinating the RFP/RFQ process.

· Training staff members to be knowledgeable about product quality requirements, how to determine when products are unacceptable, and what actions to take when quality standards are not met.

· Research potential vendors when needs arise.

· Track orders and ensure timely delivery

· Update internal databases with order details (dates, vendors, quantities, discounts)

· Evaluate offers from vendors and negotiate better prices

· Prepare cost analyses

· Maintain updated records of invoices and contracts

· Follow up with suppliers, as needed, to confirm or change orders

· Verifies purchase requisitions by comparing items requested to master list; clarifying unclear items; recommending alternatives.

· Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.

· Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.

· Verifies receipt of items by comparing items received to items ordered; resolves shipments in error with suppliers.

· Keeps information accessible by sorting and filing documents.

· Provides purchasing planning and control information by collecting, analyzing, and summarizing data and trends.

· Updates job knowledge by participating in educational opportunities.

· Accomplishes purchasing and organization mission by completing related results as needed.

· Grant Fund Reporting

· Any other duties assigned

Minimum Qualifications:

· Bachelor's Degree in Accounting or a related field

· Strong negotiating skills

· Comprehensive understanding of MS Excel, MS Word and industry standard purchase order software platforms

· Impeccable attention to detail

· Strong analytical, business, written, and verbal communication skills.

· Knowledge of governmental procurement concepts and practices.

· Preferred familiarity with the Port of Galveston’s purchasing system.

· Keen organizational skills and an ability to present information in a concise format.

· Positive and professional attitude, with an ability and interest in working in a team environment.

· Ability to learn and maintain skills necessary for job duty performance.

Supervision:

This position has no supervisory responsibilities.

Reports to:

Procurement Manager

Work Environment:

This job operates inside and outside year-round.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully preform the essential functions of this job. This position requires the ability to lift up to 20 pounds and stand for up to 8 hours.

Position Type/ Expected hours of work:

This is a full-time position. Days and hours of work. Monday- Friday, 8AM- 5PM.

Job Type: Full-time

Pay: $24.00 - $35.00 per hour
