Our client, USA Mortgage, is hiring immediately for a stellar Admin Assistant to support the Processing Manager at the West Hills, CA location. This person must be a natural problem solver with the professional/business acumen suited for C-level and high level client facing opportunities. Pay Rate: $22/hr-25/hr.(dependentupon experience)

Reason for Opening: Current employee has been promoted and will train their backfill

100% Onsite with the following schedule:
  • Work weeks are Monday to Friday; 8:30 am 5:00 pm with a 30-minute lunch break.
  • The Administrative assistant/Processing may be required to work overtime. All overtime must be assigned and pre-approved.
Work duties:
  • Open to considering 3-5 years of work experience within an administrative capacity and/or dealing with clients, in lieu of Degree.
  • Handle Customer Service requests and processing of investment applications, deposits, withdrawals, rollovers, opening new accounts death claims, address changes, RMDs, asset listings, and transfers.
  • Work with financial planners in preparing applications for client appointments.
  • Clerical/receptionist duties, including answering phone calls and listening to voicemail.
  • Process outgoing requests including FedEx, certified mail, and messenger services.
  • Handle incoming and outgoing correspondence, phone calls and emails.
  • Transcribing meeting notes.
  • Sending out client letters
  • Making initial prospect contacts for financial advisors.
  • Prepare paperwork for client 2nd 3rd appointments.
  • Attending workshops
  • The position requires you to be able to multitask while maintaining focus on details.
  • Understanding of the use of Microsoft office including; Excel, Word, Outlook, etc.
  • Adhere to client, associates, and financial institutions requests as instructed. Ask for clarification if needed.
  • Be clear and concise in all communications with all clients, associates, and financial institutions.
