Under the direction of the Director of Nursing, the Staffing and Supply Coordinator is responsible for the total function of Central Stores and is accountable for appropriate fiscal management, store room inventory, distribution of is supplies for support of resident care. This position provides proper management of all aspects of Central Supply including the day to day operation and functioning of the department; maintains all records required for regulatory bodies; and ensures proper ordering of inventory items and verifies proper receipt and dispensing of all supplies and equipment delivered to the facility. Under the supervision of the Director of Nursing and/or designee, performs general clerical duties, coordinates staffing requirements and scheduling, prepares reports for payroll, and edits payroll.

Incumbent will be scheduled based on operational need, which may include but is not limited to: holidays, extended shifts, night and/or weekend shifts, standby and/or on-call. Reports to: Director, Nursing

Essential Functions

Achieves departmental labor budget. Monitors the budgeted staff positions and distribution patterns and makes recommendations for effective fiscal management. Monitors completion of midnight census and calculates data for staffing costs and budget preparation. Recommends and ensures appropriate staffing levels. Provides a monthly budget report to supervisor.

Schedules employees to work all shifts and makes daily adjustments to balance staffing with
census. Appropriately assigns request for days off and utilization of Paid Time Off (PTO). Completes a monthly staffing schedule.

Compiles information for payroll. Submits data to payroll for bonus pay and overtime.

Ensures supplies, equipment, and work environment are kept clean, well stocked, and organized at all times. Dispense supplies to all areas and maintains appropriate inventory levels. Achieves and maintains working knowledge of all office equipment, facilitates repairs as appropriate.

Accepts and distributes all incoming mail and/or packages. Ensures incoming deliveries are checked for accuracy and condition by comparing the packing slip, receiving copy of purchase order, and visual inspection of item.

Demonstrates accuracy in preparing correspondence, reports and messages. Maintains reports and data collection for projects, as assigned.

Maintains ongoing communication with supervisor to discuss matters pertinent to centrally
supply services.


Minimum Education
? High school diploma or equivalent ? Preferred X Required
? Associates Degree (Materials Management) X Preferred ? Required

Required Skills
Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action.

Minimum Work Experience
Preferred: 1 year experience in long term care setting
