Responsible for payroll activities including but not limited to preparing in-house payroll by processing, calculating, entering data, balancing and distributing payroll information on a semi-monthly basis. Accountable for the timely submission of payroll taxes, quarterly returns, and annual returns to the appropriate agencies. Responsible for various accounting functions and reconciliations.

Specific Duties and Responsibilities

  • Responsible for preparing in-house payroll: processes, calculates, inputs, balances and prepares payroll checks and advices on a semi-monthly basis for multiple types of employees under several collective bargaining agreements.
  • Transmits direct deposit and positive pay files to the bank.
  • Responsible for the timely submission of payroll taxes according to IRS and State regulations.
  • Reconciles payroll totals on a cyclical basis.
  • Processes garnishments (IRS tax levy, child support, etc.)
  • Prepares vendor check requests.
  • Assists with reconciling and submitting quarterly returns including, but not limited to, Form 941, NJ 927, and WR-30.
  • Assists with preparing year-end W-2 forms, which involves reconciling year end payroll reports and the timely distribution of W-2 forms to employees.
  • Assists with electronical submissions of annual returns including W-2’s, Form W-3, and NJ-W3 to the appropriate agencies.
  • Maintains payroll files.
  • Completes and submits employment verification forms.
  • Responsible for miscellaneous accounting and payroll functions and reconciliations.
  • Assist employees with payroll inquiries.
  • Performs other related duties as assigned.

Minimum Qualifications

Education Required:

  • High school diploma required.
  • Associate’s degree in related field preferred. Relevant experience may be considered in lieu of degree.

Experience Required:

3+ years related experience commensurate with the requirements of the position.

INSTITUTIONAL EFFECTIVENESS:

Collaborates with department members and/or the Compliance, Assessment and Research team to support planning, assessment, data collection and reporting for continuous improvement of the college.
