JOB SUMMARY:

Payroll Specialist is responsible for preparation, processing, verification, and submission of a bi-weekly payroll for 200 + employees in CA to ADP, our third-party payroll processing vendor. Duties include reviewing transactions for accuracy, timely processing, reporting and reconciliation and ensuring compliance with state and federal laws. This team member will be responsible for handling full cycle payroll duties, in an accurate and timely manner, while maintaining the integrity of the ADP Workforce Now system. Must have knowledge of CA wage and labor laws to resolve timecard issues, data discrepancies, process transactions, and compile documentation. This role is for a committed team player who is detail-oriented with strong interpersonal skills that welcomes employee inquiries.

JOB RESPONSIBILITIES

  • Administers and manages the flow of employee information on ADP Workforce Now
  • Collects and verifies timesheets for all employees for biweekly payroll processing
  • Auditing of meal break violations and communication with appropriate supervisors/managers
  • Calculates, processes, and maintains payroll garnishments
  • Calculates missed hours, retro increases, adjustments and terminations.
  • Ensures all required payroll forms and data is collected, correct and properly secured in payroll system
  • Assists employees in payroll matters and ADP system inquiries
  • Provides support with audits, end of month closings and assist with report preparations as requested
  • Generates payroll reports for government agencies as required
  • Maintains and organizes payroll files and ADP Workforce Now system
  • Review and monitoring of employee ADP schedules
  • Review and validation of time off accruals
  • Reconciliation of payroll data between ADP and Accounting systems
  • Review and reconciliation of quarterly tax filings, year-end reporting, including W-2s
  • Maintenance of employee records
  • Updating compensation rates, tax withholding, direct deposits, etc.
  • Reconciliation of employee benefits
  • Preparation of payroll schedules and related reports
  • Payroll related entries to GL accounts, including payroll accrual schedules
  • Cost allocations to appropriate departments, locations as well as grants and programs
  • Collaboration with other department staff to ensure compliance with federal and other grant requirements
  • Collaboration and coordination of efforts between human resources and other departments to ensure proper flow and maintenance of employee data.
  • Assisting with audits, projects, and deadlines
  • Ensuring compliance with GAAP, internal control policies, guidelines, and procedures
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practice
  • Performs other tasks as assigned by department leadership

EDUCATION AND/OR EXPERIENCE:

  • High school diploma/GED required; Bachelor's Degree in relevant subject preferred
  • 3+ years of CA payroll processing experience required
  • CPP or FPC is a plus
  • Experience with ADP Workforce Now strongly preferred, or similar payroll software required
  • MUST HAVE STRONG EXCEL SKILLS - Pivot Tables, V-lookups, Formulas, etc.
  • Strong attention to detail and solid organizational skills
  • Strong level of integrity; comfort with handling sensitive information
  • Ability to effectively manage multiple priorities to meet deadlines
  • Human Resources and pre-tax benefits experience a plus
  • Strong verbal and written communication; clerical, administrative and general office skills
