PAYROLL SPECIALIST

REPORTS TO:

Assistant School Business Administrator and School Business Administrator

SALARY GRADE:

Negotiable

NATURE AND SCOPE OF JOB:

The Payroll Specialist will process the payroll and all the related functions for the College Achieve School network. The Payroll Specialist will ensure all employees are paid accurately, on time and all deductions are made in an accurate and timely manner.

JOB QUALIFICATIONS:

  • Must have strong mathematical skills with the ability to notice numerical errors.
  • 3 Plus years of Payroll processing experience required.
  • Must have typing, filing, and record keeping skills.
  • Knowledge of R & L and/ or other Payroll Systems.
  • Knowledge of Frontline Platform.
  • Strong Microsoft Office skills (Excel) and google doc platforms

ESSENTIAL JOB FUNCTIONS:

  • Performs all payroll activities necessary to be compliant with Board, State and Federal rules and regulations.
  • Coordinates with Human resources and other departments and divisions, verifying Board appointments.
  • Processes all payrolls for extra activities and hourly employees.
  • Coordinates and input of payroll for transmission to R & L for payroll processing.
  • Prepares all monthly reports required by law.
  • Maintains and updates all records of all payroll activities and changes.
  • Processes and maintains all records of the Payroll Agency Account and prepares checks from Payroll Agency Account.
  • Assists with the coordination of attendance records for all personnel in the district and prepares annual statements on accumulated paid time off.
  • Assist with all daily attendance functions and monthly attendance reconciliations
  • Prepares all necessary Federal and FICA Tax Reports.
  • Prepares all the required forms and the distribution of Annual Tax Statements (W-2 Forms).
  • Prepares all State and Federal Tax Reports.
  • Posts weekly earnings for hourly employees to coordinate SUI Report.
  • Prepares the quarterly SUI Reports for the State Department of Labor.
  • Distributes materials for Federal Government, State, Pension Funds, and other agencies to all employees.
  • Prepares and processes all requests from Payroll by all employees (Loan Applications, Pension Withdrawals, Change of Beneficiary, etc.).
  • Familiarizes and adheres to all rules and regulations issued by the Federal Government and State Department pertaining to payroll and related activities.
  • Prepares all semi-monthly reports for Tax Sheltered Annuities, Teacher Association dues, NBLA/PSA dues, Credit Union, Voluntary Life Insurance, and other necessary deduction reports.
  • Prepares all monthly and quarterly State Pension Reports for TPAF and PERS employees.
  • Performs all activities pertaining to pension such as enrollments, transfers, retirements, and loans.
  • Prepares court orders for wage-garnishees and applications for unemployment compensation.
  • Completes all mortgage applications and credit card verifications.
  • Assists with the handling of all correspondence for verifications of employment for Social Services, Housing Authority, and Health and Accident Insurance claims.
  • Provides information on all payroll activities to all personnel upon request.
  • Adheres to and implements all rules and regulations pertaining to various employees groups as set forth by their contract provision.
  • Maintains and updates records regarding unemployment data (i.e., hearings, Tribunal Appeals, and refunds).
  • Make records available to all State and Federal Agencies upon request and be able to interpret data to them.
  • Performs other related payroll activities and responsibilities as may be assigned by Assistant School Business Administrator and School Business Administrator

WORK ENVIRONMENT:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
