JOB SUMMARY:


Reports to the Operations Manager, The Patient Encounter Specialist - Lead provides support to the day-to-day operations within the clinic , coordinates and oversee activities of the front office and front office team members to ensure compassionate and professional care for patients and effective and efficient front office workflow.


  • Maintain Office supplies for assigned areas
  • Coordinate the front office lunch breaks
  • Manage the referral process for assigned clinic
  • Coordinate preparation of charts for each clinic day
  • Supervise end of day process for assigned clinic
  • Assist with supervision of operations within assigned clinic
  • Assist staff in front office training and on-boarding
  • Support all clinic front-end operations: scheduling, messaging, clinic phones, check-in/check-out, cash management, authorizations, referrals, customer service, and waiting room management within the assigned clinic
  • Foster teamwork with all members of the clinic staff
  • Responsible for collection of patient co-pays and balances
  • Proactively monitor providers’ templates within the assigned clinic
  • Work to improve employee and patient satisfaction
  • Participates in Process Improvement activities either a leader, facilitator, coach, or team member as

assigned

14. Perform other duties and responsibilities as assigned

15. May require travel to other satellite clinics/main hospital as needed


Qualifications
  • JOB SPECIFICATIONS:

    1. Experience with computer data entry or comparable experience desired.

    2. Knowledge of CPT, ICD-9 and ICD-10 coding.

    3. Must have good organizational and communication skills

    4. Medical Front Office or administrative experience preferred

    5. Excellent Problem Solving Skills

    6. The ability to remain positive and focused in a fast-paced environment

    7. Good time management skills

    8. Position requires accuracy, thoroughness, and an understanding of insurance, copy and referral procedures

    9. Skill in operating a computer, word processing software, fax machines, and copiers.

    10. Must be able to communicate effectively with public and others and maintain confidentiality.
