I. GENERAL SUMMARY:
Under general supervision of the Billing and Scheduling Manager, this position performs a wide variety of billing, scheduling & administrative services for the Department of Perioperative Services. Typical duties include activities related to the department’s hospital billing/scheduling for Perioperative Services. Maximizes scheduling and procedure room usage to facilitate an efficient patient flow.

Incumbent will manage and maintain the billing databases to ensure continuous, efficient and smooth operation of the department. The incumbent may participate in a wide variety of special projects as directed by the Manager, in addition to participating in office-related functions such as answering telephones, greeting visitors, and providing general office assistance.

II. PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:
1. Responsible for daily operations of billing within perioperative services.

2. Works on special projects related to revenue, charge capture, and documentation. This involves knowledge of and expertise in complex surgical services billing requirements.

3. Remains educated on surgical services billing issues, and makes improvements to plan as needed and as billing requirements change. Becomes expert on charge flow & billing requirements.

4. Tracks missing documentation & records; develops systematic methods for maintaining the program with accurate record keeping, as well as develops improvements to current plan.

5. Provides backup to general hospital billing personnel. This duty may include the following: entering billing data into billing systems, ensuring and all charges have been appropriately billed, as well as developing new tracking and audit systems for billable charges.

6. May perform diversified administrative duties project work at the request of the Manager.

7. Maintains collaborative team relationships with peers and colleagues in order to effectively contribute to the working group’s achievement of goals, and to help foster a positive work environment.

8. Performs on-line and manual scheduling of all surgical cases within the Surgical Services. Ensures that appropriate time requested is available and that all pertinent case data is entered into the system.

9. Confirms scheduled cases with physicians and clinic staff to maximize efficient utilization of procedure rooms and staff.

10. Reviews the daily schedule. Ensures the credibility of the schedule contents and resolves problems/issues as they arise.

11. Frequently interacts with various Tufts personnel, including physicians, residents, nurses, administration and support staff.

12. Performs other similar and related duties as required or directed.

III. JOB REQUIREMENTS:
A. JOB KNOWLEDGE AND SKILLS:
1. Knowledge of hospital billing and scheduling activities, with surgical services experience preferred, & one-year experience in charge processing. Familiarity with or willingness to learn RCO, PICIS and Plexus procedures. Experience with monitoring billing and billing quality assessment preferred; ability to work with great attention to detail, with relatively few errors.

2. Ability to function independently and exercise excellent judgement.

3. Knowledge of personal computer systems. Proficient in Microsoft Office products (Word, Excel, Access, Outlook) as well as other software programs. Must be willing to learn new systems as needed.

4. Excellent interpersonal skills. Ability to interact with personnel at a variety of levels including physicians, nurses, management and support staff.

5. Knowledge of hospital and departmental policies and procedures.

6. Ability to operate standard office equipment (e.g., personal computer, fax machine, calculator, copy machine, etc.).

B. EDUCATION:
Has knowledge of medical terminology, medical scheduling and medical billing.

H.S. diploma required.

C. EXPERIENCE:
Two to four years of progressively responsible experience in the healthcare environment, preferably with hospital & professional billing background, as well as prior project coordination and administrative support skills & experience.

An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirement

IV. WORKING CONDITIONS/PHYSICAL DEMANDS:
1. Frequent contact with a wide variety of personnel within and outside of Tufts MC.

2. Ability to work in a busy office and clerical setting. Little exposure to hazardous or unpleasant conditions.
