The Pastor is the visible principle and foundation of unity in the parish (St Joseph Catholic Church - Killeen, Texas) which the Bishop has entrusted to him. Job Summary:

The Communication Assistant is responsible for attending to visitors and dealing with inquiries on the phone and face to face from the public. Supplies information regarding the parish to the public, clients and customers. In addition, is responsible for the up keeping of parish's social media sites and the creation and submission of the parish's weekly bulletin. The position reports to the Parish Business Administrator and operates under close supervision but is encouraged to offer his or her opinion and assist the PBA in the decision-making process.

Essential Job Duties:

  • To provide all incoming visitors a professional and well-mannered cordial welcome
  • Respond to all incoming phone calls and route to appropriate person. Take accurate phone call messages, in a timely manner, if staff member is not available
  • Deal with all inquiries from incoming public or over the phone
  • Create appointments for priests/deacons - and notify priest when appointments are cancelled or rescheduled
  • Notify appropriate staff of visitor's arrival and/or confirmed appointments.
  • Provides registration forms and electronically registers all unregistered parishioners
  • Responsible for updating internal telephone list and phone announcements
  • Assist with maintaining parish calendar and coordinating events and meeting space
  • To input in PDS system all monetary envelope and online contributions for registered parishioners
  • Assist with all incoming mail and distributes to appropriate correspondent.
  • To be a backup for other staff members as needed
  • Receives incoming payments (either walk-in or mail) to include for weekly deposits
  • Work with office staff on various projects and reports as needed
  • Assist with ordering and tracking liturgical supplies
  • Be able to work at St. Joseph's annual Fest-of-All in preparing communication documents and announcements as well as assisting in Fest-of-All arrangements

Knowledge, Skills and Abilities

  • Ability to provide excellent customer service and work effectively with staff, clergy, religious, and laity.
  • Ability to operate various word-processing software, spreadsheets, and database programs.
  • Ability to operate and utilize social media sites (i.e. Facebook, webpage)
  • Ability to proficiently communicate and translate in English and Spanish.
  • Ability to organize, prioritize, and utilize effective time management techniques.
  • Ability to maintain confidentiality always.
  • Ability to carry out multiple tasks and meet deadlines.
  • Ability to follow instructions furnished in verbal or written format.

Minimum Qualifications:

Education and Trainings:

  • High School Diploma or GED acceptable to Texas Education Agency.

Experience:

  • Two (2) years of full time wage earning related work experience is preferred.

Language:

  • Bilingual English-Spanish (proficient in conversing and translating).

Catholic Requirement:

  • Must be a practicing Roman Catholic (attends Mass weekly) in good standing.

Licenses/Certifications:

  • Valid Texas driver's license.
  • Must be certified in Diocese of Austin EIM within 30 days of employment and maintain certification throughout the employment period.

Working Conditions:

  • All employees of the parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
  • The parish is an at-will employer.
  • All buildings and vehicles owned by the parish are tobacco free.
  • Working in a fast paced environment with priorities and plans that may change rapidly.
  • Working on weekends, evenings and some holidays may be required.
  • Will be exposed to religious ceremonies, conduct and speech including Roman Catholic Christian prayer and liturgical celebrations.
  • Will be required to adhere to established dress codes and conduct standards.
  • May be required to use personal or parish vehicles to drive to parishes or other off-site locations.
  • Traveling within and outside the parish to meetings and other events may be required, and travel may include overnight lodging.
