OFFICE MANAGER/RECEPTIONIST Job Description

Job Summary: This individual is part of the Visiting Angels Office Team and works closely with the office staff team to ensure the smooth and efficient operation of the office. Duties include telephone call management, data entry, general reception and typical office tasks.

This position also requires some on-call work in the evenings and on weekends/holidays. This position may require travel within the counties of Benton, Linn, Marion and Polk.

Qualifications:

  • High school graduate with college or business education preferred.
  • Prefer at least one-year experience in an office environment, preferably in a healthcare setting.
  • Must have strong customer service focus and excellent interpersonal communication skills.
  • Must have a pleasant telephone presence that conveys warmth, enthusiasm, and friendliness.
  • Must be able to think quickly and use creative solutions when needed.
  • Must have strong attention to detail and excellent organizational skills.
  • Must be able to read, write, and follow written & verbal instructions competently.
  • Must be able to use a computer to run office applications, such as Microsoft Office (WORD, EXCEL, etc) and e-mail. Must be proficient with the use of modern office technology. Visiting Angels will provide training on specialized software applications.
  • Must have good typing skills and the ability to maintain accurate schedules, notes and records.
  • Must demonstrate a sense of trustworthiness and ability to maintain strict confidentiality regarding sensitive client, employee, and other agency information.
  • Must dress appropriately and present a professional office image.
  • Must have at least two (2) satisfactory references from previous employers.
  • Must have a sincere interest and desire to work with the elderly.

Duties and Responsibilities:

  • Manage a multi-line telephone system, exercising excellent customer service.
  • Greet and assist guests in a friendly and helpful manner.
  • Responsible for typical office/clerical duties and projects.
  • Assist in setup and maintenance of all electronic records, written files & folders, and paperwork for Visiting Angels caregivers, clients, vendors, etc.
  • Work with the other Visiting Angels employees to ensure the smooth, efficient operation of the office.
  • Perform on-call duties (evenings and weekend/holidays) on a rotating basis.
  • May need to travel within Benton, Linn, Marion and Polk counties.
  • Complete other miscellaneous duties (as assigned), that may not be listed in this job description.

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
