Position Overview

The Illinois Department of Corrections at Hill Correctional Center is seeking a detail-oriented Office Assistant to serve in the facility mailroom. The selected candidate will provide services for a growing population of individuals in custody. Additionally, the successful candidate will screen and house the mail accordingly by agency rules and regulations. Job Responsibilities

  • Assists in the daily processing of in-coming and out-going individuals in custody and staff mail according to U.S. Postal Service regulations.
  • Maintains permanent records for each individual in custody’s in-coming mail concerning monies received.
  • Operates common office equipment such as word processing terminals, postal machines, and copy machines.
  • Keyboards memos relating to mail room offices process and procedures, proofreads documents for clarity, punctuation, grammar and spelling.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year related office experience.
  • Requires the ability to keyboard accurately 35 words per minute.

Preferred Qualifications (In Order of Significance)

  • Prefers one (1) year of experience in working with confidential material.
  • Prefers one (1) year of experience in alpha-numeric sequencing.
  • Prefers one (1) year of experience in operating common office equipment such as multi line phone systems, copiers, fax machines, and scanners.
  • Prefers one (1) year of experience in troubleshooting common office equipment such as copiers, fax machines, and scanners.
  • Prefers one (1) year of experience in using Microsoft Office programs such as Word and Outlook or similar like computer programs for word processing and email.
  • Prefers one (1) year of experience in talking to the public about rules/guidelines followed by employer in order to get to an appropriate end result.
  • Prefers one (1) year of experience in reading, interpreting, and applying rules and/or guidelines of an organization.
  • Prefers one (1) year of experience using basic mathematics in the workplace.
  • Prefers one (1) year of experience applying U.S. Postal Service regulations.
  • Prefers one (1) year of experience weighing and computing proper postage to prepare items for delivery to the Post Office.

Conditions of Employment

  • Requires the ability to ability to lift and move objects weighing up to 25 pounds.
  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois.
