JOB SUMMARY
This role will focus on ensuring drug and alcohol compliance under federal regulation and company policy. Ensures that employer and employees comply with DOT/FAA's Drug and Alcohol Testing regulations and the Company Drug Free Workplace Policy, serving as initial point of contact for the substance abuse program administration and all DOT and Non-DOT alcohol and drug testing, including but not limited to pre-employment, random, post-accident, and return to duty testing. Involved in reasonable suspicion and diversion investigations and any necessary testing. Responsible for educating all team members on drug and alcohol program compliance and maintaining all documentation in preparation for investigative and DOT/FAA Audits to ensure compliance to eliminate violations and improve safety.

ESSENTIAL FUNCTIONS/DUTIES
  • Maintain safety sensitive employee database with FAA required Drug/Alcohol information for 500 plus safety-sensitive employees
  • Coordinate, schedule and manage notifications for pre-employment & random drug testing
  • Assist with the on-boarding process by creating and sending out New Hire packets
  • Conduct and/or document initial & recurrent drug training for all safety-sensitive employees
  • Interfacing with Collection site/Laboratory representatives
  • Interfacing with Federal Aviation Administration (FAA) and other vendors
  • Drug & Alcohol Verification for Previous Employees
  • Manage random pools
  • Send new hires for drug test (provide required forms)
  • Send randomly selected employees for drug test

PRIA Compliance (for Pilots and Operational Control Center Specialists)
  • Set up files and send out PRIA Packet to all New Hire Pilots and OCC Specialists
  • Contact former employers for PRIA Applications - works with candidate to ensure completion and accuracy
  • Exception Memos
    • Good Faith Memos
    • Employment after Military Memo
    • Monitor background checks daily to ensure any new data is notated and processed
    • Paperwork follow-up, filing and destruction
    • Interfacing with Federal Aviation Administration (FAA) and other vendors
    • Processing invoices for NDR and PRIA Requests
    • PRIA Verification for Previous Employees

Pilot Records Database (PRD) Compliance & Data Entry

  • Enter any required training and documentation into the PRD as required

  • Record any relative documentation if needed into the PRD

Other Duties:
  • Monthly Self-Audits on Drug & Alcohol and PRIA files
  • Participates in FAA audits and provides follow up reports as needed
  • Reports any critical compliance deficiencies that affect the company operations
  • Audits Safety Sensitive Records to ensure compliance and communicates any findings to Chief Pilot, Dir. Of Standardization & Training and Director of Operations
  • Continually monitors the FAA rules and regulations on a daily basis to identify any new regulatory requirements

  • Participate in OCF rotation which includes a week of On-Call, nights and weekends on a Once-a-month basis

QUALIFICATIONS

Experience:
High School Diploma or equivalent required
Bachelor's Degree in Business, Aviation or related field preferred
Experience in DOT Drug & Alcohol compliance required - 2 years
Experience with operating procedures and manuals

Skills:
Computer-literate with a strong, working knowledge of Microsoft Excel, Word, Outlook, PowerPoint and Teams
Excellent time management and organizational skills
Meticulous attention to detail.
Ability to interact with employees of various levels of management
Excellent oral and written communication skills
Familiarity with the writing styles of Federal agencies
Ability maintain strict confidentiality
Ability to work effectively with other departments

WORKING CONDITIONS AND MENTAL/PHYSICAL REQUIREMENTS
Working Conditions:
Primarily works in an office environment
Hours Monday - Friday 8:00 a.m. to 5 p.m.
On-Call as needed Drug and Alcohol compliance Emergencies

Once-per month - Overtime required for OCF rotation and On-Call (M-Sun OCF and On-Call)

Physical Demands:
Ability to sit for extended periods of time
