Role: Scheduler

Location: This is a fully remote role open to residents of Texas. TRA will provide all training and equipment.

Schedule: Monday – Friday 9AM – 5:30PM (Pacific Time)

Pay and Benefits:

New employees to this role can expect to be offered $17.96 - $20.00 per hour based on relevant experience, skills, and abilities.

Job Summary:

This job is responsible for scheduling and pre-registering appropriate procedures with callers at any outpatient offices for all the modalities in a friendly and professional manner. In this role you will have communication with outside offices, provider offices, insurance companies, and patients. All interactions must be professional and courteous. The Scheduler position must be at their desk and ready to handle high call volumes. A top candidate has knowledge of commonly used concepts, practices, and procedures within call center/healthcare environment. This employee will rely on instructions and pre-established guidelines to perform the functions of the job. You will work under immediate remote supervision.

Essential Job Functions:

  • Duties include managing multiple phone lines, practicing superior customer service in a teamwork environment, and communicating professionally with other medical facilities.
  • Assists referring physician offices in scheduling patients for appropriate procedures.
  • Assists patients in scheduling appropriate procedures, using correct CPT code based on referral.
  • Obtains information about prior procedures for pre-registration and the medical records department.
  • Responsible for obtaining complete and accurate clinical, demographic and financial information during the scheduling process.
  • Obtains appropriate patient insurance and demographic information.
  • Provides the customer with prep and other appointment instructions.
  • Manage and direct calls using centralized phone system for all TRA Medical Imaging and TRA Medical Imaging-affiliated outpatient sites.
  • Take equal volumes of all incoming calls per scheduler and be ready to take a call at all times during work schedule.
  • Follows all compliance and insurance requirements for restricted procedures and ensures appropriate clinical information is available or waiver is available for signature.
  • May work closely with technologists and other staff to make sure accurate exam and clinical information is obtained and entered.
  • Researches authorization requirements for restricted procedures and ensures appropriate authorizations are in place.
  • Provides referring physician offices and/or patients with appropriate prep instructions for the scheduled procedure.
  • May enter referrals into the computer system as they are faxed to our office. Compares scheduled exam against referral.
  • Routine office administration procedures including typing, sorting and reviewing referrals, faxing and keeping workstation area clean and organized.
  • Schedule and confirm interpreter services when needed. Utilize phone interpreter services when needed.
  • Make confirmation calls when needed.
  • Double check for accuracy of the data entered.
  • Keeps current on procedures performed.
  • Check work e-mail daily.
  • Maintain confidentiality of all center and patient information at all times, as required by facility policy and HIPAA guidelines.
  • Follow the center exposure controls plan for blood borne and airborne pathogens.
  • Perform all other related duties as assigned.

Qualifications:

Education/Work Experience

  • High School diploma or GED required.
  • A formal medical terminology class or equivalent medical office experience is required.
  • At least 3 years of Medical Office experience required.

Job Knowledge/Skills

  • Knowledge of scheduling processes.
  • Knowledge of billing/insurance requirements or restrictions for procedures.
  • Basic knowledge of radiology procedures, including general x-ray, DEXA, ultrasound, mammography, CT, MRI, Nuclear Medicine, PET, Fluoroscopy, IR and special procedures.
  • Know the preparations for all of the exams performed and the safety guidelines involved with each exam.
  • Understand the RIS system and specifically the scheduling module recognizing the company’s multiple locations.
  • Understand insurances and know which exams require prior authorization and schedule accordingly.
  • Ability to provide geographical directions to all outpatient locations.
  • Ability to understand all applications used to provide the practice with referrals from medical facilities.
  • Ability to organize, multi-task and coordinate.
  • Ability to correctly pronounce and spell medical terms.
  • Solid analytical and technical skills.
  • Able to use all related hardware and software.
  • Ability to demonstrate effective customer service skills.
  • High level of interpersonal skills to handle sensitive and confidential information, situations, and documentation.
  • Ability to work effectively in teamwork environment and have respectful behavior while working as a team with co-workers.
  • Communicate professionally with other medical facilities, patients, and customers.
  • Ability to manage multiple tasks and carry out instructions effectively.
  • Must possess excellent verbal communication skills and organization skills.

Physical Requirements

Work is classified as sedentary in physical requirements. Requires the ability to lift/carry 1-5 pounds frequently, occasionally 10 pounds maximum.

Mental Requirements

Work requires high attention to detail and the ability to handle mentally stressful situations. The ability to maintain high level of sensitivity towards confidential information is also required.

Working/Environmental Conditions

Work environment consists of normal office or administrative working conditions.
