Position Purpose

We are currently seeking a Legal Assistant located in Minneapolis, MN. This position will report to our Associate Vice President, Corporate to support our Legal Department and work closely with our Executive team. We are looking for someone with high energy, who is passionate about supporting others and assisting in a variety of administrative activities. You will have the opportunity to bring your expertise and enthusiasm to Regis and be part of a highly driven team!

This is an onsite position with the opportunity to work remotely 1–2 times per month.

Responsibilities

  • Support the AVP, Corporate and all members of the Legal Department
  • Manage and prioritize calendars, organize travel arrangements, schedule meetings, and coordinate Legal Department deadlines
  • Develop and maintain knowledge related to the position to include company/industry knowledge, policies, and procedures, etc.
  • Review and process incoming legal notices and ensure routing to appropriate internal stakeholders
  • Assist Legal team with outgoing legal notices, correspondence, and agreements
  • Assist with creation, formatting, and revisions for various legal documents
  • Assist with updating status of legal matters in Smartsheet or other platform(s)
  • Assist with invoice management, including processing outside counsel invoices for payment and assisting with quarterly accruals
  • Support creation of presentations, spreadsheets, reports, and correspondence
  • Serve as an available first point of contact between leaders and the department
  • Provide support to the department group by jumping in when needed.
  • Participate in other initiatives as needed

Qualifications

  • Minimum of 5 years’ experience in administrative support of attorneys required, with in-house legal department experience preferred
  • Bachelor’s degree in Business Administration or related field, a plus
  • Proven ability to handle multiple projects and meet deadlines and manage priorities and workflow
  • Demonstrated ability to build relationships
  • Ability to maintain a high level of confidentiality in handling information
  • Strong oral and written communication skills
  • Ability to interact and collaborate effectively in a professional, tactful manner
  • Strong interpersonal skills and the ability to deal effectively with a diversity of individuals at all levels of the organization and exercise good judgment
  • Ability to work independently
  • Present yourself in a professional and approachable manner
  • Proficient in Microsoft Office and Adobe
  • Proficiency with Zoom and Docusign preferred
