Summary

Coordinate with the Interprofessional Education team to support events and activities hosted by the Interprofessional Education Department. Support interprofessional grand rounds, learning sessions, workshops, conferences, and other programs for local and national audiences. Coordinate the onboarding of clinical students and residents.

Essential Job Responsibilities

  • Coordinate, implement, and evaluate a variety of educational programs
  • Coordinate aspects of assigned educational events, including but not limited to:

o Conference/event support and facility arrangements

o Continuing education credit documentation processing ensuring compliance with the varied continuing education association requirements

o Assist in development, maintenance, and postings of course presentations, handouts, and session recordings

o Event registration and accounting support

o Audiovisual coordination

o Preparation of course materials

o On-site event support

o After course follow-up, including but not limited to evaluation summaries, certificates of attendance and expense processing.

o Process invoices for services rendered or purchased services

  • Order and organize supplies for the Interprofessional Education Department
  • Support student onboarding to include but not limited to processing documents, completing background checks, verifying immunization records, communicating with clinical instructors and security for therapy students, nursing students, visiting medical students, and visiting residents
  • Provide collaborative support with interprofessional needs assessments, course evaluations, communication with network sites, communication with speakers, meeting scheduling, meeting minutes, and other duties as assigned
  • Assist in the preparation of applications and compliance of continuing education credits
  • Collaborate and coordinate with the Information Technology Department on audio, video, and interactive technology solutions to support educational strategic initiatives
  • Assist with the videography of educational programs including but not limited to setting up equipment, filming presenters and editing of recorded materials
  • Support the planning of education presentations including scheduling, speaker communication, development of presentation materials, and videography
  • Assist with the execution of educational conferences, seminars and workshops sponsored or jointly provided by Mary Free Bed Rehabilitation Hospital
  • Supports leadership development education
  • Support Mary Free Bed Education Academy digital media efforts to increase enrollment at an organization and international audience level
  • Support leader, physician and APP onboarding to provide a top of the line experience for incoming providers
  • Provide support for workforce development
  • Assist Interprofessional Education Program Specialist to work with clinical and non-clinical leadership to determine career pathways and training tools to support internal growth for all staff for short and long-range plan

o Support Going Pro Continuing Education Grand Administration and MFB funding requests

o Support alignment of workforce development needs with strategic goals

o Support leadership pathways program

o Provide support to the development of the Mary Free Bed succession pan

  • Assist leadership training & development programming
  • Provide collaborative support to train leaders within the organization on Evidence Based Leadership, Mary Free Bed Climb to Excellence framework, and best practices and accounts for outcomes
  • Other duties as assigned

Essential Job Qualifications

  • Associate Degree required in healthcare related field
  • Two (2) years of relevant experience in continuing education or event coordination required
  • Desired minimum of 2 years organizational development, learning and development or Human Resources experience
  • Desired 3 years project management experience
  • Proficiency in word processing, spreadsheet applications, power point, database administration, survey tools, and operation of audio-visual equipment
  • Basic knowledge of budgeting and accounting principles
  • Excellent verbal & written communication skills, and positive, can-do attitude
  • The competence to preserve the confidentiality of special matters
  • Flexibility and ability to interact with diverse populations, including health professionals, education professionals, patients/families
  • Basic knowledge of accreditation requirements for continuing medical and health profession education credits
  • Must be very organized, detail oriented, with ability to multi-task and prioritize, and work well within a high paced, rapidly changing environment with ability to adhere to deadlines
  • Ability to work as a team member
  • Schedule flexibility to provide assistance early mornings, evenings and on weekends.

Preferred Job Qualifications

  • BS in Healthcare administration preferred
  • Experience compiling and organizing input from focus groups, and other input methodology
  • Experience with employee learning management systems
