The mission of the International Institute of New England (IINE) is to create opportunities for refugees and immigrants to succeed through resettlement, education, career advancement and pathways to citizenship. One of the oldest and largest human services organizations for New Americans in the region, IINE serves more than 4,000 people each year in Boston and Lowell, Massachusetts, and Manchester, New Hampshire. Our programs include case management, youth and family services, English for Speakers of Other Languages (ESOL), employment and skills training, and immigration legal services.

Overview

The Intake/Assessment and Data Entry Specialist is responsible for enrolling and tracking students through their academic program, regular testing of current students, and entering and maintaining data in program databases.

Duties and Responsibilities:

  • Process and monitor leads for various internal and external referral sources, and help develop recruiting strategies in conjunction with department policies and objectives.
  • Call and schedule appointments for all leads received, and conduct prospective student intakes.
  • Maintain programmatic digital and hard-copy records, including attendance records and test scores, and contribute to reports, as required.
  • Contribute to the overall recruitment and retention of students, including monitoring student attendance and managing testing schedule for post-tests.
  • Administer and score TABE Clas-E Test & BEST Plus Test; coordinate with other certified staff to administer and score assessments; ensure each student in need of an assessment receives one in a timely manner.
  • Assist in the assessment and placement of students into appropriate levels. Evaluate and document student progress, make placement recommendations and changes in accordance with the National Reporting Service (NRS) descriptors for Student Performance Levels and program class levels/focus.
  • Manage and update the waitlist for ESOL classes, and contact and enroll students as seats become available.
  • Refer student and classroom issues/needs to the Education Manager.
  • Attend regularly scheduled program meetings and periodic professional training sessions. The Institute requires 20 hours of professional development per year.
  • Perform all other duties assigned by supervisor.

Required Skills/Abilities

  • Outstanding communication skills including written, verbal, and presentation skills in a manner that demonstrates sensitivity, tact, and professionalism.
  • Excellent computer skills including Microsoft Word, Excel, and Power Point required.
  • Interest in international, refugee, and asylee issues.
  • Extremely well organized, detail oriented, flexible, and able to manage multiple tasks simultaneously.
  • Bilingual/bicultural candidates are encouraged to apply.
  • Work independently, adhere to prescribed routines & schedules, practices, maintain accurate records filing and submit reports in a timely manner.

Education and Experience

  • Bachelor’s Degree in related field required

  • Requires same-day travel to Concord, NH for professional development approximately 4 times per year

  • Requires sitting (or standing) at a desk for long periods of time.
  • Requires looking at a computer screen for extended periods.

Covid-19 Policy

IINE does not require applicants for most positions to show proof of Covid-19. Some federal contracts, however, require IINE staff to show proof of Covid-19 vaccination, and some immigration status adjustments, such as a Green Card, require proof of Covid-19 vaccination as well. Consequently, for some positions, IINE staff may be required to show proof of vaccination, and in others, IINE staff will be supporting clients who are required by law to have proof of vaccination in order to adjust their status in the United States.
