About the Role:
Bank of the San Juans is looking for a Loan Imaging Specialist to join our growing Lending department through our Core Values: Honesty and Integrity, Service to the Customer, Teamwork, Respect for the Individual, and Giving to the Communities We Serve.

Loan Imaging Specialist are responsible for accurate imaging of all loan documents and final review of all new loans and change in terms documents to the Synergy Imaging System. They ensure completeness of the data within the loan file and comply with the bank’s policy standards to adhere to the ECM Procedure Guide. This position is necessary to ensure the completeness of every loan file. Imaging Specialist also provide additional support to the Loan Operations Team to meet deadlines or complete special projects within the department that occur.

The entry rate for this position is $17.92 per hour. All compensation offers are analyzed individually and take into consideration multiple factors including but not limited to geographic location, years of experience, and educational background.

DUTIES AND RESPONSIBILITIES:

Essential Functions
1. Responsible for the tracking of documentation from outlying offices.
  • Manages weekly reports listing all new loans and CIT’s tracking the loan file and original documents until they arrive at Central Operation offices.
  • Create hard loan file in preparation to receive original critical documents to secure in fire-proof cabinet.
  • Maintain and update Imaging Log with Fed Ex contents received and as described on log. This will validate documents sent and received.
  • Validate all documents received have been imaged into Synergy
  • Place all critical documents in folders and store in fire-proof file cabinets
  • Communicate with Lender & Loan Servicer if New Loan or Change in Terms file is not received at Loan Operations Office within 10 days of boarding.
  • Responsible to communicate any issues with Supervisor in a timely manner
  • Responsible for following GBCI’s direction for audit file preparation.
2. Responsible for the accuracy and timeliness of all documents imaged/scanned to the Synergy System.
  • Log and prepare all documents for imaging/scanning into Synergy within 1 week of dropped loan file.
  • Review all images for proper sizing, orientation, resolution, and overall quality.
  • Convert digital files to format acceptable to the Synergy System.
  • Complete “The Loan Scanning Verification Acknowledgement “ for all New Loan, Renewals and CIT’s
  • Document on Checklist any missing or incomplete documents and follow up with Loan Servicer or Lender.
  • Enter items identified as missing or incomplete in collateral tracking
  • Works Loose Doc imaging folder regularly and upload documents to file.
  • Keep imaging logs and interoffice mail logs current.
  • Paid Loans – Works as back up with Loan Operations Specialist following Paid-off procedure. Paid-out Process includes preparing letter, releasing collateral, terminating flood determinations, tax service, obtaining history and imaging in the appropriate cabinet in a timely manner or as demands occur
3. Responsible for Documentation Storage.
  • Creates hard file for original critical documents to be retained in Loan Operations Departments in Pueblo or Grand Junction offices. These files are to remain in locked, fireproof cabinets with dual controls for entry.
  • Retain any non-critical paper documents for six months after imaging, followed by properly destroyed process.
4. Responsible for establishing and maintaining effective coordination and communication with area personnel and management.
  • Completes assigned paperwork for management and Lenders. Completes records and reports promptly and accurately.
  • Supports and assists area personnel as needed.
  • Maintains departmental files.
  • Attends and participates in meetings as required.
  • Keeps management informed of area activities and of any significant problems.
5. Responsible for related duties as required or assigned.
  • Performs miscellaneous functions as needed.
  • Ensures work area is clean, secure, and well maintained.
  • Fills in for area personnel as needed.
  • Supports other Loan Operations staff as necessary
Additional Responsibilities
  • Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
  • Adhere to Bank of the San Juans Company Core Values.
  • Keeps management appropriately informed of area activities and of any significant problems.
  • Participate in Community Service and Bank sponsored activities that serve and support the mission and values of the Bank of the San Juans.
  • Provide superior internal and external customer service: must demonstrate self-governance, courtesy and respect toward external customers as well as internal customers (all organization personnel).
  • Complete required bank and BVS training courses within assigned time frame(s).
  • Represent Bank of the San Juans in a professional manner which includes a professional image, confidentiality, a positive “can-do” attitude, good attendance, punctuality, flexibility and adaptability in meeting bank and customer needs. Keep work area tidy and maintain customer privacy. Attends and participates in meetings as required.

About You:
QUALIFICATIONS:
  • High school graduate or equivalent.
  • One or two years of loan-related experience preferred

KNOWLEDGE, SKILL, ABILITY:
  • Understanding of loan products and services.
  • Knowledge of loan documentation and lending compliance regulations
  • Strong typing abilities.
  • Good verbal public relations skills.
  • Able to operate calculator, word processor, and related computer applications.
  • Well organized.
WORK ENVIRONMENT: Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise.

Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.
Specific lifting abilities required by this job include: Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
