Job Description Summary

The Administrative Assistant is responsible for assisting the Hotel Operations team with various administrative and clerical duties. This role is ideal for anyone who wants to learn more about Hospitality and become a Hospitality Leader in the future.

Job Description

  • Reporting directly to Area General Manager for all weekly and daily projects.
  • Updating of Templates, Forms, and other documents relevant to Hotel Operations
  • Maintain filing of relevant information including maintaining Transcendent maintenance Rounds, work orders and PM to company standards
  • Ensure the PM schedule is adhered to and remains on course and up to date.
  • Ensure all equipment data is inputted and kept up to date and manage the introduction of new equipment data input
  • Ensure all data is true and the latest version is up to date
  • Ensure PM sheets are logged, and any parts are generated on to order system
  • Monitor rounds, PM, and work orders for compliance
  • Support daily procurement activities through the supply chain
  • Assist with Vendor procurement
  • Assist with incoming mail
  • Assist with monthly department meetings and safety team
  • Ensure proper communication to Operations team of status and project updates
  • Create/build SOP to guide operations to success.
  • Process invoices
  • Build solid relationship with your Colleagues
  • Treat Colleagues with respect and dignity
  • Other duties and responsibilities may be assigned. The employee is expected to work in other areas of the hotel when needed to assist operations to perform job duties not necessarily contained in this job description.

Schedule

  • Monday - Friday with Flexible hours
  • 40 hours
  • 5 days a week
