We have a great opportunity for a Grants Specialist at the Cooperative Institute for Climate, Ocean, and Ecosystem Studies (CICOES)—a NOAA-funded research institute at the UW’s College of the Environment. This is a brand new positon and assists in both pre- and post-award grants management at CICOES.

RESPONSIBILITIES:

Post-Award Budget Management

  • Monitor budgets and provide financial projections to Principal Investigators (PIs)

  • Track due dates and assist in submission of research progress reports

  • Participate in UW trainings and sponsor trainings that relate to CICOES research grants

  • Serve as a resource to PIs on sponsored project guidelines and work with PIs on no-cost extensions and closing grant budgets

  • Serve as liaison between CICOES and UW’s Grant & Contract Accounting (GCA) and/or sponsors to ensure award compliance for all non-cooperative agreement awards

  • Assist in tracking and oversight of internal CIOCES Grants Development awards

  • Oversee CICOES subawards


  • Pre-Award Grant Submission Management

  • Work with PIs and staff on financial and administrative aspects of grant proposal submissions (including budget preparation)

  • Serve as liaison between CICOES and the Office of Sponsored Programs (OSP),


  • Document management

  • Track upcoming deadlines and disseminate such information as needed

  • Ensure electronic filing of all relevant documents post-submission, adhering to naming convention on shared server

  • Keep templates current for all sponsored project proposal submissions

  • MINIMUM REQUIREMENTS:

    Bachelor's degree in Business Administration, Accounting, Finance, or related field. and at least 2 - 3 years' experience in research administration or equivalent combination of education/experience. In-depth knowledge of the rules/regulations for state, federal and other agency grants and contracts.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    DESIRED:

    Experience in working with UW budgets, grants, program administration
