Job Title: Gift Planning Coordinator


Reports to: Director of Gift Planning


Campus: Queens


Job Summary:

Reporting to the Director of Gift Planning, the Coordinator is responsible for providing administrative support to the Director Gift Planning. This position requires attention to detail, excellent communication skills, and the ability to manage multiple tasks and projects simultaneously. The successful candidate will work closely with the Director and donors to facilitate the process of making planned gifts to the organization and will also be responsible for stewardship activities that maintain and enhance relationships with existing donors. In addition, the Gift Planning Coordinator will analyze the response to salon events and track the success of these initiatives.


Essential Functions:

  • Assist Gift Planning Officers in identifying and cultivating planned gift prospects.
  • Coordinate gift planning mailings including appeal letters and acknowledgment letters.
  • Maintain gift planning records and ensure that information is accurate and up to date.
  • Prepare and distribute reports on gift planning activity and progress toward goals.
  • In conjunction with University Events, plan and execute gift planning events, e.g. Salon events and other legacy society stewardship and recruitment events.
  • Analyze the response to gift planning events and track the success of gift planning.
  • Handle mail and phone inquiries, department email addresses, and social media responses.
  • Manage gift planning donor files and ensure that donor information is accurate and up to date.
  • Assist in tracking open estates to ensure timely follow-up with executors and estate attorneys on the collection of estate gifts.
  • Respond to donor inquiries and provide excellent customer service.
  • Provide support for gift planning marketing efforts, including email campaigns and social media.
  • Draft charitable gift annuity proposals, acknowledgments, and estate letters.
  • Assist with gift processing and acknowledgments.
  • Implement workflow systems to enhance the efficiency of operations through the use MS Teams Planning, PG Calc Bequest Manager, PG Calc Manager, Digiscribe, Reeher, Quadrangle, Canva, and BANNER.
  • Track and process donor communications and planned giving invoices.
  • Make travel arrangements and complete expense reports for Gift Planning team.
  • Schedule and coordinate external marketing campaigns with PGM.
  • Participate in division-wide initiatives, projects, meetings, retreats, and other duties as assigned.
  • Provide concierge services to The McCallen Society.

Competencies

  • Ability to manage multiple tasks simultaneously along with a strong understanding of how and when to prioritize.
  • Proven organizational skills.
  • Sensitivity with respect to handling confidential documents and financial data
  • Proficiency with Microsoft Office; demonstrated expertise in Excel and PowerPoint
  • Experience with fundraising databases such as Salesforce/Affiniquest
  • Experience with Microsoft SharePoint and PGCalc planned giving software preferred.
  • Excellent communication, written, and verbal skills.
  • Knowledge of fundraising and philanthropy.
  • Knowledge of the Internet, relational databases, and common computer applications is essential.
  • Commitment to and knowledge of ethical use of information.

Work Environment

This position operates in a professional office environment; This position is required to use standard office equipment such as personal computers, printers, etc. This position may be required to work occasional evening or weekends to support gift planning events or activities. The position may require occasional travel.


Physical Demands

While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work and use controls; reach with hands and arms; climb stairs; communicate. Required to drive to event and donor locations. This position may require occasional lifting of materials up to 25 pounds.


Position Type/Expected Hours of Work

This position is full-time, and the expected hours are Monday through Friday, 8:30 a.m. to 4:30 p.m.


Required Education and Experience:

  • Bachelor’s degree
  • 2-3years of Development, Planned Giving, Donor Relations/Stewardship, Digital Marketing, Project Management, or other related experience.

In compliance with NYC’s Pay Transparency Act, the annual/hourly salary range for this position is $58,500-$63,000. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.


This position may be relocated to any of St. John’s University’s physical locations at any time.
