Job Description for Clinic Assistant

General Description: Responsible for processing application and screening of WIC applicants, issuance of benefits, eWIC cards and maintaining records related to clinic activities

Education / Experience: High School graduate or equivalent, preferably with a minimum of one-year clerical experience in a health care setting

Reports to: WIC Coordinator

Principle Duties and Responsibilities:

1. Accurately Screen WIC applicants for eligibility; identity, residency, status and determine income eligibility and ensure privacy during intake.

2. Assist applicants with understanding of the WIC Signature Page including explanation of the Consent for Services and the Rights and Responsibilities section.

3. Accurately verify Medicaid coverage using the health care portal and maintain password.
4. Opens up front office and ready to process first appointment of the day on time and ensures the office is securely closed at end of day.
5. Attend to Voicemail. Place and answer related to business in a professional manner.
6. Help maintain clinic and eWIC card inventory and follow procedure for lost/stolen eWIC card
7. Maintains WIC participant records and other official documentation that is required. Follows the guidelines for disposal of records.
8. Complete outreach reports per state guidelines and other reports deemed necessary by supervisor.
9. Provide instructions on the use of eWIC cards/foods to clients as well as referrals to other social services and government programs.
10. Assist with maintenance of WIC office, some examples include; washing of dishes, trash disposal, picking up waiting room, vacuuming when needed.
11. Type materials and perform general office

12. Follow procedure of voter registration and Responsibilities: completion by participant and delivery to local clerk’s office.

13. Maintains a productive clinic flow.

14. Any other task as outlined in the IN WIC Policy & Procedure Manual as well as any other tasks assigned by Coordinator.

  • Provides good, professional customer and displays teamwork by and Abilities: working well with co-workers.
  • Show up on time for work and performs jobs accurately with few errors consistently.
  • Have basic computer skills and works at a reasonable pace.
  • Knowledge of community resources and making appropriate referrals as needed.
  • Ability to work with or without others with minimal supervision.
  • Possess the ability to work though stressful situations during challenging interactions with clients in a positive manner.
  • Work ethics are present and employees’ share an even amount of workload among staff as is outlined in the job description.
  • Special literacy and language skills appropriate to address the diversity of the population served by the local agency may be advantageous.

Pay: $19.00 - $19.50 per hour
