ABOUT THE OPPORTUNITY
Over the past few years, Firelight Media has undergone a period of rapid growth. It is currently seeking a Contract and Grants Manager to assist with and oversee the organization’s re-granting, ensuring the quality of Firelight Media’s efforts. Firelight Media currently runs eight grant programs and four that have a contracting/licensing component. This will be a full-time position reporting directly to the Senior Vice President and working closely with the Director, Finance and Operations.
The Contract and Grants Manager will work across each department and team to manage the development, execution, and tracking of all agreements and corresponding deliverables. The Manager will ensure each contract meets legal recruitments, grant awards are re-granted to artists in each of the fellowship programs, systems are enhanced to track each transaction, and each team is aware of their role in the management of each agreement. While this role will facilitate project managing contracts and grants internally, the Manager will also serve as a key liaison externally with grantees (program fellows and filmmakers) and interact with the legal and contractual departments of partner institutions, such as streaming and production partners.

The Contracts and Grants Manager will split their time evenly between the following:

Support the development, execution, and lead the management of contracts: The Contract and Grants Manager will facilitate cross-departmental collaboration and serve as the nucleus to the contract management process. They will provide ongoing guidance and support on policies, procedures, and systems maintenance to effectively and efficiently track licensing and other contracts. They will partner closely with all departments (programs, finance, operations, development, and legal) at Firelight Media to:

  • Collect, revise, and ensure compliance for all program-related contracts
  • Coordinate with the legal and contracts partners at streaming and production partners such as PBS, Netflix, and others to prepare and finalize licensing and other agreements with all applicable terms and conditions
  • Maintain appropriate dashboards, technology, and Salesforce for centralized tracking of all contracts
  • Proactively and consistently liaise with members of the Firelight Media team to keep everyone abreast of contract deadlines and deliverables in a timely manner with strategies for follow-up, as needed

Track and manage re-granting processes:
Firelight Media re-grants a substantial portion of their institutional grants to program participants. The Contract and Grants Manager will partner closely with the Senior Vice President, Finance & Operations, Program Team, and Development team to:
  • Track the receipt and acknowledgement of institutional grants from foundations and corporate partners
  • Establish or enhance the appropriate systems for a seamless passthrough of funds
  • Manage grantee records and coordinate payment delivery, including prioritizing secure grantee sensitive information
  • Maintain the Salesforce database on an ongoing basis to ensure grantee record accuracy for timely payments

QUALIFICATIONS

  • Consistently demonstrate high-quality data management and administration with a relational database system (e.g., Salesforce)
  • Exposure to grants and contract management is highly desirable
  • Knowledge of and excitement about documentary film as a catalyst for social change and furthering social and racial justice. Familiarity with the filmmaking/visual arts landscape highly preferred
  • Ability and experience working collaboratively with and managing projects that include external organizations and partners
  • Provides a positive customer service experience while making sure all agreements are executed with fidelity
  • Possess and operate from a high level of discretion in maintaining confidentiality of sensitive materials and issues
  • Presents a flexible, team-oriented approach to problem-solving
COMPENSATION AND BENEFITS
Salary range: $70,000-$75,000
