Position Description

The Finance and Administration Manager position offers an opportunity to contribute to the development of this meaningful initiative, and to enrich one’s skills and experience by contributing to decision-making about its future direction.

Reporting to the Executive Director, the Manager will be responsible for a variety of financial tasks: financial analysis, planning, forecasting, and reporting; assisting the Executive Director in developing and monitoring budgets; managing procurement and payments; developing processes for managing the accounting of financial transactions using financial software and university systems; and representing the Harvard & the Legacy of Slavery initiative in collaborating with Finance and Administration in the Office of the President and Provost, and conducting essential operational functions.

The Manager will also be responsible for significant aspects of the Initiative’s operations, including the administration of matters that pertain to in-kind contributions and funded activities. This work will require collaborating with colleagues on matters such as facilities planning and procurement.

As part of the Initiative’s core team and one of the first employees of the recently created Harvard & the Legacy of Slavery initiative, the Finance and Administration Manager will also be expected to contribute to the growth of this new organization by helping to develop business processes, as well as to cultivate a mission-driven organizational culture of truth, transparency, accountability, equity, and collaboration. It is essential that the person in this position have a strong work ethic, be flexible and adaptive to change, and demonstrate professionalism and enthusiasm for the endeavor.

Job-Specific Responsibilities include, but are not limited to:
Finance-related responsibilities
  • Supports the Executive Director in the development of the initiative’s annual budget.
  • Monitors operational expenses and revenues.
  • Evaluates quarterly results, operating budgets, and analyzes multi-year financial plans, and provides guidance to the Executive Director on matters, including the appropriate use of endowment and unrestricted funds.
  • Develops hypothetical scenarios and conducts financial analyses that inform decision-making.
  • Manages financial closings.
  • Might prepare and deliver presentations on the Initiative's budget and financial outlook to the Initiative's leadership and other stakeholders.
  • Develops processes for managing the accounting of financial transactions using financial software.
  • Manages procurement and payments.
  • Represents the Harvard & the Legacy of Slavery initiative in collaborating with Finance and Administration in the Office of the President and Provost and with other colleagues in central finance division.
Administrative Responsibilities
  • Manages the administration of outgoing funds and in-kind contributions that support internal, external, and collaborative activities.
  • Coordinates annual performance management compliance and reporting.
  • Serves as the Harvard & the Legacy of Slavery’s liaison to Human Resources and on employment issues.
  • Collaborates with colleagues in the Office of the President and Provost on facilities-related matters.

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience

Additional Qualifications and Skills

    Demonstrated interest in climate change and sustainability.
  • MBA (or other relevant professional/graduate degree) is a plus;
  • Note: An MBA with prior consulting experience, or extensive financial analytics experience in a complex environment, can offset the required years of experience indicated above.
  • Strong analytical, problem solving, written oral communication, and organizational skills, including experience presenting to senior leadership.
  • Familiarity with Harvard's financial and reporting systems (i.e., Oracle financial applications, including AP, HCOM and PCard; HUBS; People Soft; and Concur).
  • Warm, enthusiastic and approachable work style.
