Extension Fiscal and Grant Coordinator Job at Montana State University

This position provides a key role in the Extension Nutrition Education Program (SNAP-Ed and EFNEP) and Extension Administration which is the hub for all of the various Extension units, including the Nutrition Education Program (located in 15 field offices, with faculty and staff), agent offices throughout the state (54 county offices, 4 reservation offices and 90 agents), the Fire Services Training School (located in Great Falls and serving the entire state, with regular and ad hoc faculty throughout the state), the Extension Forestry Unit (located in Missoula), Extension Publications, Extension Marketing and IT, the Housing/Weatherization Center, 4-H/Youth Development Center, the Local Government Center and Extension Specialists in various departments across campus.

Duties and Responsibilities
Manage budgets from various indexes in coordination with the Extension Nutrition Education Program Director and Extension Finance Team
Independently analyze financial and budget trends and prepare a variety of monthly, quarterly, and annual fiscal reports.
Utilize CatBooks, Banner, Chrome River, and other accounting software to pay expenses, develop and interpret financial reports, and correct errors.
Manage changes in fiscal management practices to maximize efficiency and comply with policy changes.
Manage formal fiscal audits including collecting and retrieving fiscal documentation and providing responses to fiscal questions.
Clarify and coordinate fiscal and managerial responsibilities of Principal Investigators.
Collaborate with the MSU Office of Sponsored Programs to support Extension faculty and staff in managing grants and contracts.
Work as a member of the MSU Extension Finance Team to assist with other duties related to fiscal management.
Interpret and apply applicable University, State, and Federal fiscal policies.
Organize and archive applicable records and documents.
Independently complete tasks in a timely manner according to established deadlines with minimal supervision.
Work with OSP to establish grant indices and distribute monies to institutions and sub-awardees
Provide information from inquiries regarding grant-funded projects including allowable expenses.
Facilitate and conduct proposal meetings, collect documentation, draft proposal development templates, and interpret application guideline requirements.

Required Qualifications – Experience, Education, Knowledge & Skills
Bachelor’s Degree or progressively responsible experience in business administration, finance, accounting, or related field, or an equivalent combination of education and/or experience.
A record of progressively responsible fiscal management including experience preparing and monitoring budgets and financial reports with a high level of accuracy.
Experience with managing or tracking funds. Experience applying and interpreting applicable institutional, local, state, and federal regulations or related standards, guidelines and policies.
Experience with computer-based systems, such as Microsoft Office and accounting software.

Preferred Qualifications – Experience, Education, Knowledge & Skills
Experience using accounting software: Banner, CatBooks, and Chrome River.
Experience organizing and prioritizing workload and deadlines and handling complex situations while working under minimal supervision.
Experience composing, formatting, and proofing business correspondence, with a high degree of attention to detail and accuracy.
Experience researching grant sources, applying for grants, or reconciling grants from external funding sources.
