Duties performed are of a complex and varied secretarial/administrative support nature supporting the Office of Graduate Studies and the Office of Laboratory & Field Safety. This is the most senior level secretarial job, and while it incorporates elements of other levels, it has a majority of effort associated with more complex secretarial support services or program-related activities, including handling substantive secretarial/administrative details and duties for a supervisor. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused.

Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.

Preferred Qualifications
Experience with SAP, Excel and Access.
Demonstrated ability to design/maintain web pages.

Duties & Responsibilities
Responsible for web site content maintenance.
Responsible for maestro announcements and maintaining global and departmental lists.
Responsible for email and phone communication for the OLFS and OGS main email and office phone numbers.
Administrative oversight and troubleshooting for lab safety training program in SAP SuccessFactors.
Assists in administering the Occupational Health Program for both animal workers and biosafety level 2 & 3 workers.
Provides Blackboard technical assistance for GA Training.
Creates and distributes annual radiation exposure reports to radiation workers.
Responsible for recordkeeping (ImageNow, SAP, Data Warehouse; Share drive records; Access databases: grad faculty status, lab registrations/door signage, training records; Lab coat registrations: Excel spreadsheets, radiation dosimeter registrations, chemical inventories.
Assists with OGS Forms: prospectus, grad faculty status, extension of time, leave of absence, academic load policy exceptions, credit by exam, recomputation of GPA, requests to take 600-level for undergraduate credit).
Coordinates outlook calendars for OLFS and OGS staff.
Sets up meetings (safety meetings, Graduate Committee, SRCEE, Graduate Coordinators Breakfast, staff meetings, etc.), which includes coordinating room reservations, room setup, scheduling attendees, etc.).
Takes minutes (Lab Safety Committee, Radiation Safety Committee, Laser Safety Committee, others as assigned).
Assists with thesis/dissertation review.
Assists with review and enforcement of academic probation for on and off campus graduate students.
Orders/tracks supplies.
Oversees student work.
Other duties as assigned.
