Executive Director Position Description

About the Position

Saving Grace Pet Adoption Center is seeking an experienced Executive Director (ED) to join our talented and compassionate team of professionals providing animal welfare services to all of beautiful Douglas County, Oregon. Saving Grace is the county’s only full-service, open- admission animal shelter, providing shelter, food and medical care to thousands of animals each year, with a successful 94% live release rate.

Reporting to the Board of Directors, the ED is responsible for the organization’s consistent and overall achievement of its mission, goals, and financial objectives, while building on the organization’s reputation for excellence and leadership in the animal welfare field.

The ED is responsible for leading, managing and developing a paid staff of 20 full and part-time employees, a growing volunteer base, and overseeing a $1M annual operating budget.

The ED works closely with a supportive Board and talented senior staff to:

  • Develop and achieve effective organizational objectives, strategies, and operational efficiencies, per the strategic plan.
  • Ensure effective internal/external promotion of the mission, vision, and organization brand, building community engagement and support.
  • Serve as the chief fundraiser, including donor relations, business sponsorships, grant writing and capital project planning and oversight.
  • Ensure proper management and oversight of financials, insurance, and legal affairs.
  • Provide staff leadership, mentoring and human resource functions.
  • Execute marketing and public relations activities.
  • Build productive relationships with municipal shelter partners and other Animal

Welfare agencies.

  • Other duties and responsibilities as dictated by ongoing needs of the organization.

Qualifications

  • Minimum of three years of executive-level experience
  • Thorough and measurable knowledge of all aspects of fundraising; demonstrated success in reaching revenue goals
  • Extensive experience in financial management with annual budgets of $500K-$2M
  • Demonstrated skill set in developing and managing staff and working with volunteers
  • Experience with analyzing statistical information to inform program direction and strategy
  • Aptitude and experience in preparing and delivering public presentations and communicating effectively with a variety of audiences and stakeholders
  • Demonstrated ability to creatively problem solve, and to act decisively and ethically in difficult and fast-paced situations
  • Excellent written and verbal communications skills
  • Proficiency with basic computer software, including Office 365, CRM applications, social media marketing tools and e-newsletter creation
  • Experience working within the nonprofit sector is preferred
  • Animal welfare experience and knowledge of animal advocacy on the local, state, and national level is preferred
  • Must have valid Oregon drivers’ license with a good, insurable driving record.
  • Bachelor’s degree from an accredited college required

Duties and Responsibilities
Development and Community Outreach

  • Responsible for developing, managing, and funding all resource development plans to support the organization’s budget
  • Work with Board and key staff to solicit funds and build and maintain relationships with individuals, businesses, corporations, and foundations
  • Oversee the planning, implementation, and evaluation of fundraising events
  • Oversee the research and preparation of the organization’s largest grant applications
  • Develop, implement, and oversee fundraising campaigns e.g., monthly giving program, e-solicitations, and social media
  • Develop strategic partnerships to amplify progressive animal welfare programs and messaging and increase lifesaving throughout the state

Financial Responsibility

  • Develop an annual budget; manage the organization’s resources within budget guidelines; ensure effective management of the budget and be accountable for budget expenditures
  • Guide development and execution of all shelter programs and ensure their operation is within the annual budget
  • Ensure sufficient annual operating revenue is available and that development evolves to support needed growth

Staff and Organizational Leadership

  • Create and implement strategic goals and objectives, and provide leadership to achieve

Saving Grace’s mission and continued growth

  • Provide executive-level leadership of staff and volunteers; promote professional and technical development of staff with an emphasis on customer service
  • Build effective working relationships with managers, staff, volunteers, directors, and

Board members

  • Ensure standards and procedures are appropriately documented and followed for all core functions of the organization; promote health and safety standards
  • Establish and promote a work culture that is inclusive, team-oriented, and mission- driven

Marketing and Communication

  • Direct the creation, implementation, and management of marketing to promote the organization’s mission and brand; strengthen donor relationships and engagement; and achieve fundraising goals
  • Direct the creation of content for social media
  • Oversee external website host to develop and maintain website
  • Maximize public relations opportunities to increase brand awareness
  • Act as spokesperson for the organization and develop and maintain effective working relationships with media representatives

Animal Welfare and Advocacy

  • In conjunction with the Shelter Operations Director and Shelter Health manager, evaluate shelter programs and operations and modify as necessary to maximize lifesaving, improve operational efficiencies, and increase community engagement
  • Work with regional shelter directors and other animal resource groups to build coalitions promoting animal welfare throughout Oregon
  • Works with government officials to gain support, gain funding and build effective plans to manage pet welfare in Douglas County
  • Builds a supportive and effective Board to evolve and deliver on the organization’s mission & vision, strategic plan, development/fundraising goals and community animals welfare responsibility

Infrastructure

  • Ensure property and equipment, building(s) and other facilities are properly maintained and insured using the established Facilities Maintenance Plan

Work Environment

This position is the leader and member of Saving Grace’s Leadership Team and is required to be available after hours and on weekends, as necessary. The schedule may include some weekend hours.
Working Conditions: The Executive Director will occasionally have contact with animals with varying degrees of domesticity and physical condition. At times, he/she may be exposed to loud noises, animal waste, kennel cleaners and disinfectants, soiled kennels, animal bedding and dishes. He/she may be exposed to zoonotic diseases.

Compensation & Benefits
$65-70K annually depending on experience. You will receive six paid holidays and 120 hours of
PTO the first year of employment. Employees are eligible to take PTO time after 90 days of employment. Medical insurance covered at 75% and dental/vision at 45%. IRA with employer match contribution. Continuing education including conference attendance and development opportunities. Relocation stipend available.
