Executive Coordinator

Role Summary

This administrative position provides primary administrative support to a Vice President and provides secondary support to other top managers on the team. Will also assist with other management level secondary support for scheduling/calendars as required.

Role Responsibilities

  • Manage electronic schedules to ensure efficient time management. Schedule routine departmental meetings, prepare agendas, take meeting minutes & ensure timely follow-up for tasks assigned to the team during meetings. Proactively follow-up on outstanding tasks & issues.
  • Screen & route written & electronic mail & telephone calls, both internal & external.
  • Prepare clear & well-written communications on behalf of senior leaders, both within GoA & with outside recipients, including VW AG as required. Prepare & coordinate various reports, presentations & documents within the departments by gathering data &/or preparing PowerPoint slides & when required, submit to Office of the EVP for inclusion into Board & other high-level presentations.
  • Prepare, pre-review, submit & track expense reports & maintain records for senior management.
  • Prepare, track & follow-up on Check Requests, Purchase Requisitions, RFQ’s, & PAR’S to ensure timely delivery of goods & services.
  • Monitor departmental travel requests, verify need for travel & approve on behalf of senior leaders.
  • Organizes and confirms domestic and international travel arrangements.
  • Assists with expense reports and the creation of travel profiles.
  • Assists upper management with Executive Visits, OHM Meetings, Off-Sites, Team Building Events, Team Leader Quarterly Meetings, and all other organizational meetings.
  • Plan summer and holiday party and other company-wide events.
  • Maintain signature authorizations/deletions.
  • Responsible for ordering office supplies, maintain office supply cabinet/resources, & prepare OA, catering & other requests on behalf of senior leaders & team members as required.
  • Provides support to the Sr Manager Mobility Design & Technology and overall team as needed.
  • Conducts regular financial analysis of operational costs and budgets.
  • Works with VW Group of America on company-wide policies and events.
  • New hire bundles, PKI card request, onboarding of new hires.
  • Describe the complexity of the role, scope, impact etc.


Qualifications

  • Minimum 3-5 years of experience needed.

Education

Required

  • Bachelor’s Degree or equivalent work experience.

Desired

  • MBA or Master's Degree.

Required Specialized Skills

  • Administrative Assistant experience working with executives.
  • Highly proficient in computer skills (Microsoft Word, Excel, PowerPoint, Outlook, Internet Browsers).
  • Ability to manage multiple calendars/schedules.
  • Experience with Jira and Confluence.
  • Analytical and conceptual thinking – using logic and reason, creative and strategic.
  • Communication skills – interpersonal, presentation and written.
  • Computer savvy – skilled in the use of software.
  • Integration – joining people, processes or systems.
  • Influencing and negotiation skills.
  • Problem solving.
  • Resource management.
  • Must be fluent (business level) in German

In Belmont, California, the salary range for this role is $75000 - $92000, depending on education and experience.
