We are a successful, high volume, patient-focused practice seeking an executive assistant with some personal assistant duties to work directly with the Owner/Doctor of our rapidly growing Orthodontic practice. The ideal candidate will be a sharp, energetic and dependable individual with a positive attitude and willing to be a team player. We offer a full-time schedule at a single location (Montebello, CA) with a fun-loving and hard-working team. Our mission is to create as many smiles in our community as possible by providing excellent and efficient care at affordable prices.

Requirements:

  • Minimum 3-5 years of successful executive assisting
  • Extremely strong writing skills. Ability to write letters, presentations and other written communication.
  • Must be able to work within deadlines and execute in a fast-paced environment. Must be able to manage multiple projects at the same time and be flexible to accommodate last minute changes.
  • Stay one step ahead of Owner/Doctor by anticipating his needs and by taking a proactive approach to problem solving and independent thinking.
  • Organization is a MUST!
  • Must have great phone skills.
  • Extremely knowledgeable in Google Sheets, Docs and Forms. Proficient in Microsoft Word, Excel and PowerPoint. Experience using Apple products a plus. G suite (word, excel etc. ) Asana (task management software), Ortho2 (pt software that would need training).
  • Must be punctual and have excellent time-management skills.
  • Outgoing and positive demeanor! You will be interacting with numerous important individuals.

Responsibilities:

  • Conserve our Owner/Doctor’s time, which will allow him to focus on increasing revenue and growing the practice. This includes handling almost all his personal affairs.
  • Serve as a liaison between Owner/Doctor and key employees
  • Manage Owner/Doctor’s calendar, schedule & coordinate meetings internally and externally.
  • Arrange travel by developing itineraries and agendas; booking transportation, lodging and meeting accommodations.
  • Answer questions and requests directed to the Owner/Doctor.
  • General correspondence including typing memos, sending emails, screening calls, setting appointments.
  • Maintain extensive filing system of records, bills and other documents in G Suite and Google Drive.
  • Manage the upkeep and maintenance of Owner/Doctor’s homes, cars and properties.
  • Operate office equipment such as computer, fax, scanner, copier, etc.
