Responsibilities

As our Executive Assistant for Marketing and Communications, you will collaborate with and supports the Chief of Communications and the Chief of Marketing in the UCLA Health MarComm department. You will ensure the department meets all system-wide MarComm responsibilities and exceeds stakeholder and internal/external customer service expectations embodying the C-I-CARE principles. You will also provide professional operational and project support for the MarComm Chiefs and leadership team.

In this role, you will be aligned with organizational and departmental goals and priorities, manage work activities, calendar and priority projects, specifically:


  • Provide strategic leadership for department leadership projects ensuring on time delivery and excellent customer service
  • Ensure all communications for Chiefs and department leaders are responded to with professionalism, diplomacy and discretion. Communication with all levels of organization.
  • Calendaring includes Chiefs' schedule and departmental meeting orchestration. High level management of Chiefs' schedule ensures appropriate work flow and alignment with goals/priorities
  • Provide strategic oversight of MarComm office space and effective utilization of shared work areas ensuring business offices are tidy, professional and welcoming to all, including management of maintenance vendors, supplies and office space organization.
  • Compose reports, proposals and correspondence independently.
  • Coordination of large scale events, team meetings, conferences, including logistics of events from beginning to end.
  • Co-chair MarComm team strategic planning meetings.

You will also supervise/manage, develop and mentor team of administrative support staff and ensure staff are highly trained and aligned with organizational and departmental goals and priorities.

Salary Range: $67100-$151100 Annually

Qualifications

  • Minimum five years of experience working as a professional executive assistant
  • Knowledge of academia or academic medical center setting preferred
  • Ability to learn University structure and policies sufficient to serve as a resource for questions, referrals, and documentation.
  • Ability to learn University systems for budgets, payroll, purchasing, invoicing, travel, and expense reports.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • Excellent communication skills, both written and verbal.
  • Ability to handle confidential, sensitive and difficult situations in a professional and responsive manner; ability to exercise own judgment.
  • Ability to develop and monitor a budget.
  • Ability to interact effectively with individuals and organizations at all levels, establish and maintain good working relationships.
  • Ability to develop priorities, meet deadlines despite interruptions, and perform multiple complex assignments.
  • Ability to coordinate complex calendars for department executive leaders.
  • Skill in working on a team.
