Job Description:
The Executive Assistant will provide wide-ranging administrative support to the Executive Office in addition to directly supporting the Executive Service Manager. The Executive Assistant must be creative and enjoy working within a fast-paced environment.
Agency-Wide Duties:
  • Supports the mission, vision and philosophy of Graham Windham. Complies with all organizational policies and procedures.
  • Supports all functions that attain and maintain accreditation and compliance with regulatory agencies.
  • Exhibits effective communications skills.
Other Duties & Responsibilities (but not limited to):
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Sustain a daily calendar of meetings and events. Coordinate appointments and meetings and assist with travel arrangements when necessary.
  • Assisting/scheduling for Sharmeela Mediratta (Vice President for Health and Family Wellness and Chief Advocacy Officer), Kristen Ragusa (Vice President for Youth Success), and Jill Lefkowitz (Chief Performance Officer, Program Perf + Planning). Also, support the AVPs for project based and short-term assignments.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Welcome the Executive’s guests by greeting them, in person or on the phone, answering or directing inquiries.
  • Use discretion, confidentiality, and good judgment to handle.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Coordinate with PPP department by making customer satisfaction calls (to foster parents and birth parents, maybe youth on occasion). Other things could be ad hoc chart.
  • Provide administrative support to the President & CEO in the absence of the CEO’s Executive Assistant.
  • Assist the CEO’s Executive Service Manager in maintaining files for the Office of the President including all Board of Directors and Board Committee related correspondence, minutes, and resolutions.
  • Complete adhoc projects as assigned – such as the Annual Founder’s/Staff Appreciation event; Immigration Update etc.
  • Complete other tasks as assigned by the Executive Leadership or the Manager of Executive Services.
Qualifications:
  • Associate’s Degree. Bachelor’s Degree preferred.
  • 5 years of Administrative Experience with at least 2 years working directly for a senior level executive.
  • Excellent verbal and written communication skills.
  • Excellent computer skills including Microsoft Office.
  • Social services or non-profit experience, a plus.

  • Ability to multi-task.
  • Ability to work and communicate with senior levels.
  • Demonstrated ability to meet tight deadlines.
  • Willingness to work late, when required.
