We’re seeking an Executive Assistant (EA) to our Finance, Information Technology, and Administration (FITA) team. This position provides executive support to the Chief Financial and Operating Officer (CFOO), the Chief of Community Development and Engagement Officer (CCDEO), and multiple Board Committees. This position handles details of a highly confidential and critical nature and will independently manage multiple tasks and projects with competing priorities and deadlines.

This position will also support front desk/administration as well as organizational cross-functional work groups and project teams as necessary. This position is considered essential to our business and required to work in-office at least three (3) days per week and may be eligible to work remotely up to two (2) days per week. Finally, the EA should have a passion to help others, is driven to make a difference, and has great communication, administrative and organizational skills.

Executive Administrative Support and Board Committees/Task Forces

  • Provides administrative support to the CFOO and CCDEO, which includes but may not be limited to calendaring; preparing and reviewing documents, reports, and correspondence; coordinating and preparing for department-wide and other meetings; and any other administrative/support tasks as requested
  • Provides administrative support for Board Committees, Board Cabinets, and Task Forces (as assigned), including producing and updating annual schedules, rosters, and contact lists; calendaring meetings; drafting, finalizing, and disseminating agendas, meeting materials, and minutes of the meetings; producing PowerPoints; maintaining rosters in Andar 360 database; and updating/maintaining the Board Portal with all materials.
  • Processes and submits all travel requests for CFOO and CCDEO, which includes but may not be limited to researching airfare, hotels, and conference registrations.

General

  • Acts as backup/additional support for front desk/reception coverage when requested.
  • Provides administrative support to organization-wide cross-functional teams as assigned.
  • Identifies opportunities for efficiencies by contributing fresh ideas for improvement.
  • Continually seeks to increase organizational knowledge and professional capabilities by actively participating in internal teams/committees, meetings, trainings, and other programmatic opportunities as required and/or schedules allow.
  • Other duties as assigned.
Requirements:

Have a degree? Great. Have work experience? Amazing. A combination of education and/or relevant work experience can be considered in lieu of a degree.

Here’s what’s required to do this job:

  • At least three (3) years of experience with supporting executive staff and administrative duties in an office setting, and reception/front desk experience
  • At least five (5) years Business Administration, Business Management, Nonprofit, or a related field experience or equivalent post-secondary degree.
  • Expert proficiency in Outlook.
  • Expert proficiency in Microsoft Office Suite.
  • Proficiency in Microsoft CRM or similar CRM tool
  • Proficiency in developing and running PowerPoint presentations
  • Proficiency in Zoom meeting management and optimizing the various presentation capabilities of Zoom
  • Proficient in the use of technology and the ability to learn and navigate technological systems and software.
  • Ability to occasionally work outside regular office hours

We work in a hybrid environment and some in-office work will be expected at our office at 32nd Street and Camelback. We’ve been telecommute-friendly for eligible roles since 2015 and most employees work in the office 1-3 days a week. Working in a hybrid environment hasn’t affected our collaboration, communication and relationship-based culture. To be successful at this, you’ll need to make sure you have high-speed internet access and a quiet, noise-free home office space that is free from distractions.
