Summary of Duties:
Washington State University seeks a dynamic and proactive Executive Assistant to the Executive Vice President for Finance and Administration/CFO. This position works at a high level of the organization, interacting with internal and external constituencies on a variety of complex issues. The position also serves as the primary point of contact; manages the VP's exceptionally complex calendar; plans, researches, and recommends solutions to complex issues; and oversees the daily operations of the e\Executive Vice President for Finance and Administration/CFO's office. The successful candidate must exercise discretion, good judgment, and significant initiative.

The Position
The Executive Assistant provides a wide range of executive-level administrative support of a substantial and confidential nature to the Executive Vice President for Finance and Administration/CFO. This includes managing all aspects of the Executive VP/CFO's complex schedule and coordinating travel arrangements; anticipating needs and gathering or creating briefing materials; composing correspondence, presentations, and other materials in support of the Executive VP/CFO, ensuring coordination of information flow; developing relationships with colleagues in the Offices of the President, the Executive Vice Presidents and Chancellors, and other units system-wide; handling confidential or sensitive information; serving as liaison to individuals both internal and external to the University; and assisting with follow-up on a broad range of institutional issues. Research, prepare, proofread, edit and/or coordinate drafts of Board of Regents materials, presentation materials, technical and administrative correspondence/documentation under the Executive Vice President for Finance and Administration/CFO's name for internal and external matters.
Coordinates the daily operations of the Executive Vice President for Finance and Administration/CFO's office, develops and implements processes that improve office functionality, efficiency, and professionalism.

The individual in this position must be proactive, efficiently responsive, undertake projects with little direction, and analyze and summarize information for reports and presentations as requested.

Required Qualifications:
  • A Bachelor's degree and six (6) years of experience directly related to the specific duties and responsibilities of the position. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis. Some positions may require an advanced degree as determined by specific position requirements.
  • Computer skills including proficiency with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Demonstrated oral and written communication skills.
  • Experience providing office management and supervision.
  • Experience preparing administrative correspondence (i.e. presentation materials, e-mails, memos, etc.)
  • Demonstrated ability to perform tasks with a high degree of accuracy and thoroughness.
  • Demonstrated record of responsible administrative support background.
  • Experience in maintaining a high level of confidentiality.
  • Ability and willingness to occasionally travel, work weekends and work after regular business hours.

Preferred Qualifications:
  • Demonstrated ability to manage multiple priorities with competing deadlines.
  • Experience in higher education and/or in the areas of finance, budget, facilities, public safety, compliance and other areas within the WSU finance and administration portfolio.
  • Previous experience at Washington State University, including experience with WSU systems, business policies and procedures.

Monthly Salary: $5,485.73 - $8,402.20 In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate's current experience, education, skills, and abilities related to the position.
