Executive Assistant, Binghamton

United Health Services is seeking an Executive Assistant to the Vice President of Community Relations to join our Community Relations Team in Binghamton, NY. The Executive Assistant assists and supports the Vice President in day to day activities to further enhance public and employee understanding of UHS’ mission, vision, and values. This is a BENEFITS-ELIGIBLE position.

Salary range: $26.50 - $35.86, depending on experience

Executive Assistant Overview

Assists and supports the department staff to further enhance public and employee understanding of UHS’ mission, vision, and values.

Executive Assistant Key Responsibilities and Expectations

Coordinates execution of department budget, including processing invoices for payment with submission to appropriate financial departments, processing of procurement card statements and responding to inquiries regarding payment of invoices.

Provides administrative support for department, takes minutes, maintains calendars, schedules meetings, secures rooms, prepares catering requests; arranges for travel accommodations, expense monies, conference fees, and prepares travel expense reports.

Assists with management of intranet and internet.

Assists with management of internal marketing & communications materials platform.

Prepares news releases and disseminates to media.

Screens, responds to media inquiries.

Proofreads and edits department collaterals as well as quarterly Stay Healthy Magazine

Reviews staff time submissions prior to approval.

Prepares department PI quarterly reports.

Prepares media on call schedule, enters schedule in Telemediq; processes Special Payments quarterly.

Position Qualifications

Minimum:
Office Administration A.A.S. or at least four years secretarial experience in community relations, communications.

OR

1-2 years of general Marketing or Communications work experience.

Advance knowledge/experience in Microsoft Office Suites (Outlook, Word, Excel, and PowerPoint)

Preferred:
Knowledge of website content management and various computer software programs. Previous experience with professional writing, editing, and proofreading.
4 + Years of secretarial experience in community relations, communications, and marketing in a healthcare setting.
