Executive Assistant

The Timberline Condominiums is hiring an Executive Assistant to assist the General Manager and Controller in the day-to-day operations of the homeowner’s association and short term rental program. Under the General Manager’s supervision, the primary responsibility of this position is to provide high-level administrative support. This includes organizing and maintaining paper and electronic files, managing special projects, conducting research, assist with HR and Accounting related tasks. Other duties as assigned by the General Manager, Controller, and Board of Directors.

Property Description

Timberline Condominiums is a slope-side vacation rental property located on the Snowmass ski area and close to the Snowmass Village Mall. These well-appointed ski-in/ski-out condominiums range in size from studios to 3 bedrooms. Condominiums have fully equipped kitchens, balcony or deck and gas fireplace (except studios). They are individually owned and decorated.

Amenities include a heated slope-side pool, hot tubs, fitness center and steam room. The on-site restaurant, the Edge Restaurant & Bar serves alpine inspired cuisine. Gas barbeque grills and outdoor seating are located on the large Sundeck.

Services include daily housekeeping, complimentary airport shuttle to and from the Aspen airport and within Snowmass Village, full-service front desk, complimentary wireless Internet and concierge service.

Duties and Responsibilities

  • Provide effective and comprehensive support to the General Manager and Controller.
  • Assist with simple accounting duties, including but not limited to:
  • Posting daily sales reports
  • Depositing checks
  • Scanning receipts
  • Counting cash and providing change
  • Filing, mailing, and other duties as needed
  • Assist with simple HR duties, including but not limited to:
  • Collecting time and attendance records
  • Leading the New Hire Application Process
  • Maintaining organized and up-to-date employee files
  • Helping with Employee Recognition
  • Other clerical duties as needed
  • Provide general office support to all team members on an as needed basis.
  • Address owner’s requests and needs in a timely manner.
  • Interact with employees and assist guests with concerns, questions, or complaints.
  • Create a continuously improving environment, teamwork, and a dedication to execute excellent customer service.
  • Help General Manager and Controller implement long-term goals as outlined by the Board of Directors.
  • Demonstrate personal credibility by behaving with the highest ethical standards, respecting and treating others fairly, and inspiring trust with all constituencies including the ownership group, community, asset management, customers and associates.
  • Monday through Friday schedule.

  • Knowledge of the hospitality & association industry.

  • Good communicator and possess strong decision-making skills.
  • Great team player and ability to lead with positivity and.

Education and Qualifications

  • Bachelor’s degree in business, management, or hospitality and/or equivalent work experience in the resort industry.

Job Type: Full-time

Pay: $51,000.00 - $55,000.00 per year
