EXECUTIVE ASSISTANT

Position Summary

The Executive Assistant will help coordinate the activities of the CEO, CCO and the Board of Directors. The ideal candidate will be an expert project manager who can anticipate the needs of the CEO and CCO, manage a rapid flow of work, stay mindful of all the details while holding the big picture and constantly calibrate multiple and often competing needs. Strong communication skills are essential.

Key Responsibilities:

  • Manage the calendars and emails of the CEO and the COO and prioritize sensitive matters; respond to and prepare correspondence and emails in a timely fashion.
  • Schedule meetings, prepare agendas and other necessary materials.
  • Act as the point of contact among executives, managers, employees, clients and other external partners.
  • Compose correspondence on behalf of the CEO and COO.
  • Support scheduling needs of the Board of Directors.
  • Attend Board of Directors and Board Committee meetings, take and distribute meeting minutes.
  • Prepare meeting materials, including agenda, note-taking and creating or editing presentations.
  • Coordinate internal and external meetings and events.
  • Organizes and maintains the CEO’s and COO’s working files.
  • Prepare reports by collecting and analyzing information; prepare presentations.
  • Coordinate all travel arrangements.
  • Prepare and submit expense reports.
  • Act as hiring manager for executive positions.
  • Coordinate talent activities for executive positions, including development plans and evaluations.
  • Coordinate with COO regarding facility and equipment repair requests with building management and/or outside vendors and follows up through completion.
  • Maintain confidentiality of highly sensitive information
  • Other activities, responsibilities, projects as needed to assist CEO and COO.

Education and Experience

  • 2+ years of project management experience.
  • Experience in providing executive senior executives.
  • Associates-level degree or higher preferred, but not required.
  • Bachelor’s degree preferred or equivalent experience in providing executive and administrative support to an organization.

Qualifications

  • Strong proficiency with Microsoft Office applications, including Outlook, Excel, Word and PowerPoint; High degree of digital fluency using cloud-based office tools such as SharePoint and other web-based applications; demonstrated ability to incorporate and leverage these tools into day-to-day work.
  • Experience in a Human Services / Non-Profit organizational setting preferred.
  • Enjoys and works effectively in culture of collaboration, ongoing change, commitment to racial equity, diversity and inclusion.
  • Strong interpersonal, writing, proofreading, organizing, phone and office skills
  • Ability to solve problems and deal with a variety of complex variables in situations where limited standardization exists.
  • Ability and interest in gathering data, compiling information, and preparing reports.

  • Ability to function in a calm and effective manner during crisis situations.
  • Demonstrated capacity for problem-solving and taking initiative, evidence of good judgment and history of high productivity.
