The Executive Assistant will report to and support the US Head of Brand and Innovation. In addition, this role will support two category teams (Personal Care and Pain and Sleep) for Sanofi Consumer Healthcare. The position is a key interface to CHC Leadership Team, internal and external contacts, stakeholders and agency partners.
The Executive Assistant is responsible for performing a variety of administrative, business supportive, technical, and clerical tasks and activities including but not limited to meeting and calendar prioritization & management, travel arrangements, expense reporting, project support, procurement administration, communications, ad hoc support as needed.
Key Duties and Responsibilities
Provide administrative support:
Travel arrangements – coordinate domestic and international travel needs to ensure smooth and efficient itineraries and schedules for Head of Brands & Innovation and Category Heads
Calendar management – proactively manage Outlook calendars, resolving schedule conflicts, and prioritizing meetings for Head of Brands & Innovation and Category Heads
Expense reports – process expenses accurately and in a timely manner for Head of Brands & Innovation and Category Heads
Event management for internal and external
Manage the Purchase Order process in collaboration with brand leads for all category /department-initiated needs
Process and track department invoices
Presentation creation and editing
Management of Microsoft Teams Channel
Documentation and record keeping
Sample ordering for national and international delivery
Manage product stock supply for Personal Care and Pain & Sleep brands.
Daily/weekly reporting from a variety of systems
Foster collaborative relationships with key agency partners
Foster collaborative relationships with other Executive Assistants and Coordinators, work together efficiently, facilitating mutual alignment and sharing best practices
Provide support for ad hoc requests related to budget, people processes, contracts and meeting management
Qualifications, experience, and skills
College degree (preferred) in business, communication, or related discipline
A minimum of 5 years previous administrative experience with progressively expanded responsibilities
Prior experience supporting Senior Leaders, ideally in a global context
Experience working in consumer products, technology, pharmaceutical or biotech company
Advanced MS Office skills (Excel, PowerPoint, Word, Outlook)
Knowledge of office management systems and procedures
Working knowledge of common office intranet tools such as Concur, Ebuy, Workday and comfortable learning new web-based systems
Strong, clear, and concise oral and written communication skills
Proactive problem-solving positive mindset and willingness to take on new projects
Highly organized with the ability to manage multiple conflicting priorities in a fast-paced and demanding environment
Strong attention to detail to ensure smooth and efficient flow of day-to-day operations and excellent follow up skills
Ability to interact with all levels of the Sanofi organization including the most senior management
Self-motivated with the ability to work remotely, independently as well as part of a team
