Pierson Computing Connection, Inc. (PCCi), an ethical, rapidly growing, woman-owned company needs an Executive Assistant to support two executives. This position is with a 30-year-old company with a fun, energetic environment -- and we have an office dog.

Candidates must have prior experience supporting C-suite level executives.

Location

Salary/Wages

$20 - $30 per hour.

Summary/Objective

The Executive Assistant provides executive-level administrative support to the CEO/President/Owner and the Director of Project Operations. This position will learn about and interact with all aspects of the business.

Required Education and Experience

The following requirements are job-related and consistent with business necessity.

  • High school diploma or GED
  • Five or more years’ experience in the Essential Functions and Competencies in a comparable position
  • Class C (passenger vehicle) driver’s license with a clean driving record

Preferred Education and Experience

The following requirements are job-related and consistent with business necessity.

  • Associate degree in business administration or related field
  • Ten or more years’ experience in the Essential Functions and Competencies in a comparable position
  • One year or more experience with Access or other database management programs

Essential Functions

  • Manage the executives’ email and a general company email address. Filter, sort, forward, act upon, and/or provide direction on what messages the executive needs to look at, read, or prioritize
  • Answer questions and respond to inquiries as needed, researching or following up on inquiries that require more in-depth information
  • Write and edit communications on the executive’s behalf, including letters, emails, and procedural documentation
  • Manage the executive’s calendar, including making business and personal appointments and rescheduling items as needed
  • Provide administrative and communication project assistance to managers, project managers, and other staff
  • Plan and coordinate company-wide and leadership team meetings, including scheduling, venue selection, communications, and arranging for catering
  • Coordinate the executive’s travel, including reserving flights, hotels, and car rentals, and preparing itineraries
  • Manage procurement of supplies, company apparel, and tools/equipment
  • Assist with executive’s personal errands
  • Other duties as assigned

Competencies

  • Demonstrates intermediate-level competency with general computer and Microsoft systems and applications, including Word, Excel, PowerPoint, and Outlook. Microsoft Access and/or database management experience is a plus
  • Effectively presents information and writes reports, business correspondence, and procedure manuals in a professional, clear, and concise manner. Possesses excellent verbal and written communication skills
  • Maintains a professional demeanor with customers, vendors, and staff
  • Technologically savvy, such as able to download apps, troubleshoot basic computer and smartphone issues, and start-up audio-visual technology
  • Communicates effectively: listens, follows up, and seeks clarification; speaks clearly and persuasively
  • Proactively identifies problems, collects data, establishes facts, and draws valid conclusions
  • Works independently to identify what needs done and prioritizes tasks in order to meet deadlines
  • Maintains strict confidentiality regarding business and personal matters

Supervisory Responsibilities

This position has no supervisory responsibilities.

Additional Eligibility Requirements

Upon offer of employment, selected candidates must pass a pre-employment drug test and Pennsylvania State Police Criminal Record background check at Pierson’s expense.

Position Type/Expected Hours of Work

This is an hourly overtime-eligible position. The work schedule is at least 40 hours per week, 8 a.m. to 5 p.m. with an unpaid one-hour lunch. Some overtime is possible requiring the ability to occasionally work 7 a.m. to 6 p.m. with management approval.

Reports To

This position dual reports to the Director, Project Operations, and the CEO/President/Owner.

Travel

Less than 10%. Travel is primarily local during the business day, if needed to run errands, although some out-of-the-area and overnight travel may be expected. Travel in a personal vehicle will be reimbursed at the IRS mileage rate.
