Position Summary: Executive Assistant

Founded in 2009, Midwest Equipment Sales (“MWE”) is a rapidly growing developer, importer, and distributor of market leading products through two divisions: (1) aftermarket tracks and tires for the small and mid-size equipment industry (the “Tracks & Tires” division), and (2) outdoor power products, such as portable generators, pressure washers and battery products (the “OPE” Outdoor Power Equipment division). MWE markets its products primarily through e-commerce channels, both through its own website portal, as well as leading online retailers (such as Amazon, Lowe’s, and Home Depot).

Job Overview

The Executive Assistant is responsible for providing administrative support to one or more members of MWE’s C-Suite executive team. The Executive Assistant has the ability to problem-solve, be forward thinking, and anticipate needs. Strong business communications, oral / written skills and understands confidentiality.

Responsibilities and Duties

  • Schedules appointments and make arrangements for meetings both one-on-one, in small groups, or involving large numbers of people both internal and external
  • Gathers and prepares briefing materials to ensure preparedness
  • Calendar management and support
  • Manage and organize meetings for department and executive(s)
  • Makes travel arrangements for the Executives and others
  • Coordinate flights, hotels and ground logistics
  • Gathers documentation for timely completion expense reports
  • Distributes correspondence
  • Performs executive administrative duties, usually of a confidential nature
  • Reads and routes incoming mail
  • Composes correspondence on behalf of executives, verbal direction
  • Takes notes during meetings on behalf of executives for distribution as needed / requested
  • Answers phone, gives information to callers, routes calls as appropriate, and troubleshoots on behalf of the organization
  • Works as part of a team to plan and execute board meetings, team meetings, and investor/ licensing events
  • Participate in the planning and execution of company events
  • Managing office supply levels
  • Other duties as assigned

Qualifications and Skills

  • Minimum of three (3) years’ experience providing support to senior-level executives
  • Knowledge of standard office administrative practices and procedures
  • Strong communication, teamwork and interpersonal skills with employees in all levels of the organization
  • Attention to detail required
  • Excellent computer skills; proficient and in-depth knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and internet research capabilities. Knowledge of MS SharePoint, Teams, Chrome and Netsuite a plus

Education / Training Requirements

  • Bachelor's degree preferred
