Job Title: Executive Administrative Assistant
Reports To: Lead Pastor

Summary:
This position will be responsible for assisting and undergirding the areas of ministries that are overseen by the Lead Pastor (LP).

Employment Expectations:

1. To maintain a growing relationship with the Lord

  • As a representative of Village Baptist Church, the Executive Assistant will be expected at all times to be godly, effective and excellent.

2. The Executive Assistant will:

  • Serve as the primary support personnel to the Lead Pastor
  • Assist with arrangements for all ministry related programs and special events
  • Assist with correspondence for the LP – emails, letters, cards, gifts, etc.
  • Help coordinate the weekly Sunday Bulletin as directed by the LP and Leadership Team.
  • Help coordinate the LP’s schedule and appointments
  • Prepare for meetings for which the LP is responsible
  • Act as a liaison between the LP, staff and church members (Answer and field incoming calls)
  • Create and maintain a filing system for the LP
  • Compile and maintain campus records (Life Group attendance, First time guests, Baptisms, etc.) as well as be the liaison between the LP and Deacon leadership
  • Maintain receipts and expenditures of the LP to be reconciled monthly and be prepared to discuss budget items as requested
  • Assist the LP with the planning and execution of any retreats, conferences, and travel arrangements
  • Attend any staff meetings or functions as required
  • When necessary, greet and serve as a point of contact for visitors and guest inquiring about

VBC

  • Procure office supplies when needed
  • Maintain confidentiality
  • Be an active member of VBC
  • Have an understanding of church outreach and believe in the mission of the church.
  • Other duties will involve assisting the LP with special projects as needed

Requirements:

1. Computer Usage – Word, Excel, Power Point and Outlook

2. Other VBC specific programs:

  • Church-wide Calendar System – booking rooms for ministry events or meetings
  • Culinary Services – requests for food, beverage or linen service for events
  • Media – requests for audio/video, staging for events
  • Facilities – requests for room setups for events
  • CCB Database – church member and visitor database
