We’re currently seeking a talented Document Control Specialist. This is a key role at Over J and will help us complete a wide variety of data collection, data input, monitoring, maintaining, and reporting for documentation associated with fast-paced construction projects. The Document Control Specialist will be housed in the Engineering department, will report to the Program Manager and will work closely with Associate Engineers, Project Engineers and Project Managers. The Document Control Specialist will be a full-time position and is expected to work on-site at our office in Downtown Los Angeles. The position is open until filled, but we are hoping to have our new Document Control Specialist in the saddle by the end of August.

A DAY IN THE LIFE:
The Document Control Specialist is a fast-paced role and will have a variety of duties. The Document Control Specialist will be responsible for:
  • Demonstrating organizational skills and expertise in maintaining documents. Perform quality assurance and quality control of engineering documents. Provide support to system users. Recommend enhancements and troubleshoot system errors. Perform periodic archiving and audits to maintain document repository standards.
  • Provide services for engineering document requests. Perform collection, entry, access, and distribution procedures as required. Utilize interpersonal skills in maintaining balance with all parties’ requirements and priorities.
  • Provide on-time and on-budget, complete administrative and analytical support in relation to engineering document services. Proactively communicate with other team members to manage workload and project requests. Provide project administrative and engineering document services to projects.
  • Demonstrate adherence to engineering document services policies, procedures, standards, and guidelines. Contributes to development of department policies. Provides input for continuous process improvement. Communicate document requirements and department standards. Support compliance with adherence to state and FERC requirements. Investigates compliancy as necessary.
  • Support of onsite engineering documents with verification of document accuracy through audits.

Superpowers:
We are looking for a superstar in the field of management of administrative services. You will need the following skills/abilities:
  • Bachelor’s degree in Business Administration or another related field a plus, but not required.
  • 2+ years of progressive experience in document control for engineering and/or construction projects, especially with project closeout.
  • Strong verbal and written communication skills, including interpersonal, facilitation, and presentation capabilities.
  • Computer experience required.
  • Proficiency with Microsoft Office required.
  • Experience with Monday.com desired.
  • Utility industry experience desired.
  • Experience with SAP preferred.
