DEFINITION

Under direction, acts as the lead in DPO administration to support the reporting, compilation and maintenance of personnel records. Compiles reports from employment records; files employment records; searches employee files and furnishes information to authorized persons, assists with benefits and leave of absence administration, providing training and recruiting administrative assistance as needed.

CLASS CHARACTERISTICS

This is a lead position that will provide general exposure to all disciplines within the DPO function. In addition to being responsible for the completion of their own assignments, incumbents in this classification routinely assist with scheduling, work flow planning, giving direction, monitoring, training, and orienting staff.

This class differs from Generalist - People Operations in that its main responsibility is transactional in that it is to maintain personnel records, preparation of reports, and everything associated, therein, providing general administrative support using limited judgment. It differs from the classification of Manager in that it does not possess the supervisory duties associated with hiring, evaluating, promoting, disciplining, and discharging, but may provide input into such processes.

EXAMPLES OF DUTIES (ILLUSTRATIVE ONLY)

  • Assists DPO staff by leading the processing, verifying and maintaining of documentation related to personnel activities such as staffing, recruitment, training, grievances, performance evaluations and classifications.
  • Assists DPO staff by leading the process of performing data entry into HRIS system of all pertinent information for each employee such as demographic information, pay changes, promotions, evaluations, etc.
  • Leads the tracking and processing of a variety of data such as driving credentials for employees; anniversary acknowledgements; job posting in HRIS and via external job boards; reference checking processes and verifications of prior employment/eligibility for employment; facilitates the administration and scoring of applicants testing processes and assists with interviews.
  • Reviews DPO Assistant’s processes, including personnel records, performs audit of all for accuracy; make recommendations as needed.
  • Leads and assists in processing of new-hire paperwork and setting up files, New Employee Orientation, ID Badges, and coordinates ordering of supplies.
  • Initiates and conducts orientation as needed to support benefits, training, recruiting and other requests from DPO Director.
  • Provides customer service assistance and information regarding general information, open positions, policies, benefits, pay issues, procedures to employees or job applicants, benefits and training.
  • Participates in the process of training staff within DPO.
  • Maintains clean driving record as well as currency of driver’s license and vehicle insurance/registration.
  • Acts as a liaison between DPO and programs through the establishment and maintenance of effective and cooperative working relationships organization wide.
  • Attends staff meetings unless approval for non-attendance is secured from DPO Director or Chief.
  • Meets the standards set for performance in all aspects of job duties.
  • Other duties, as required.

Schedule: Monday - Friday 8:00 am - 4:30 pm

Compensation: 22.00 - 23.81 per hour, with a $1000 dollar sign-on bonus
