Position Title: Data & Records Manager
Classification Status: Non-exempt; Permanent
Reports to: Support Services Coordinator
Our Work:
Established in 1986, Pee Dee Coalition is a non-profit organization dedicated to the reduction of sexual assault, family violence, and child abuse and the needs of victims. The organization serves the seven-county Pee Dee Region of SC, including Florence, Darlington, Marion, Chesterfield, Marlboro, Dillon, and Williamsburg Counties. In addition, the Durant Children’s Center also serves Sumter County.
Job Summary:
The Data and Records Manager is responsible for transforming and transferring data upon requests by organizational departments, data entry and composition of necessary graphical charts, and adhering to legal and regulatory standards, among other duties. Data Managers must attend to any data requests by PDC centers and grant requirements, requiring them to maintain excellent organizational skills and data integrity.
General Data:
  • Become knowledgeable in document control and data records management processes for the Coalition. Support cross-functional collaboration to ensure data integrity, completion, and compliance in the development and improvement of processes.
  • Using Collaborate and similar software to enter data and run data queries.
  • Maintaining data integrity and security.
  • Ensuring the proper sorting and organizing of databases.
  • Taking extra security precautions when handling personally identifiable data.
  • Adhering to legal and regulatory standards.
  • Adhering to company data guidelines.
  • Transforming or transferring data upon request.
  • Maintaining data on storage devices such as servers, flash drives, and other external devices.
  • Performing data requests promptly.
  • Preparing data for meetings and presentations.
  • Communicating data reports.
  • Ensuring data is adequately backed up.
  • Assisting staff with data entry methods.
Records Management:
  • Maintain current records on the PDC network and SharePoint
  • Purge or archive old records for backup
  • Ensure records remain current and relevant
  • Organize and maintain mirrored storage of records on the PDC network and SharePoint
Other Responsibilities
  • Adhere to PDC’s vision, mission, and philosophy.
  • Maintain confidentiality and privacy of all service recipients.
  • Maintain confidentiality of shelter location, personnel, and financial information.
  • Meet other needs identified by the Support Services team.
  • Ensure the Executive Director is aware of any issues that may affect the organization.
Requirements:
  • Bachelors in Data Management/Analytics/Reporting.
  • Aptitude for math and proficiency with computers.
  • Strong verbal and written communication skills with a high level of efficiency, accuracy, and responsibility.
  • Motivation and a strong desire to take on new challenges and learn as much as possible.
  • Must be a team player and motivated to learn with a strong desire to take on a new challenge.
  • Must have a very high sense of attention to detail to prevent any mistakes while transcribing and interpreting information.
Knowledge, Skills, and Abilities:
  • Excellent oral and written communication skills.
  • Proficiency in MS Office applications, including Word, Outlook, Excel, PowerPoint, Publisher, Office 365, and various database software.
  • Ability to proofread and identify errors in math or calculations.
  • Ability to analyze information and recognize problems or errors.
  • Excellent people skills for utilization with staff, volunteers, and individuals outside the organization.

CLASSIFICATION:
Full-time position, classified as Non-Exempt under the Fair Labor Standards Act and is, thereby subject to all overtime rules.
