Position Objective

The Credentials and Student Completion Specialist supports the CPTC mission by supporting the admission and enrollment of students into programs and student completion of programs. This position reviews and establishes college placement based on existing measures, evaluates and determines credentials equivalency and post-transfer credit to student academic records, reviews and audits student academic records for completion, researches and identifies students close to completion, facilitates academic credit for prior learning, and maintains academic advisement report system.

The Credential Evaluator is an overtime-eligible, full-time position.
This position has been designated as a bargaining unit position represented by Clover Park Federation of Classified Employees Local 4789.

Duties and Tasks (Essential Functions)

Duty: Credentials Evaluation and Student Completions

  • Utilize graduation applications, academic advisement reports, and other resources to review, audit, and award completers.
  • Coordinate with faculty regarding course substitutions to certify students for completion.
  • Maintain evaluation, transfer, completion, and awarding processes and procedures and communicate as needed with stakeholders.
  • Create and maintain an accurate and up-to-date Academic Advisement Report (AAR) system.
  • Collaborate with other departments, faculty, and students in the use and understanding of the AAR.
  • Review prior WCTCS Degree Audit system as needed.
  • Initiate the review of current processes and suggest changes or efficiencies to further develop the responsibilities of this position resulting from conversion to ctcLink.
  • Utilize strong critical thinking and communication skills to solve detailed tasks and issues as well as work to find ways to streamline processes.
  • Serve as the subject matter expert for credentials evaluation and student completion. •
  • Coordinate program visits to inform students on special licensing, completion requirements, and/or department services.
  • Meet and communicate with students, faculty, advisors, and stakeholders regarding the transferability of courses to degree pathways and completion.
  • Review and process student transcripts for general education and placement scores.
  • Work with faculty to evaluate transfer credit for career program classes and post-credits to student records.
  • Review course descriptions from transfer colleges for CPTC equivalencies.
  • Coordinate Academic Credit for Prior Learning.
  • Process grade change requests.
  • Lead and/or coordinate retention and completion activities as directed. • Maintain up-to-date credentials and completion information on the CPTC website.
  • Use PeopleSoft queries and other tools to pull and share requested data related to the position’s responsibilities.
  • Identify and troubleshoot issues within PeopleSoft related to the position’s responsibilities. May work with appropriate departments and/or SBCTC to determine necessary solutions.
  • Identify and implement new business processes within PeopleSoft to create more efficient workflows.
  • Analyze and maintain quarterly completion and evaluation data for improvements and decision-making.
  • Serve as a subject matter expert member in position-related committees and groups, i.e. Student Learning Committee

Duty: Office Tasks, College Support, and Professional Development

  • Assist the Enrollment Services office with tasks as needed, including but not limited to covering front-counter services, processing enrollment transactions, admission applications, course repeats, transcript requests, and education verifications.
  • May train and supervise student employees.
  • Attend and participate in training and meetings.

Minimum Qualifications

  • Associate’s degree or higher from an accredited institution.
  • Two years of customer service and clerical work experience in a professional office environment.
  • Proven ability to analyze and solve problems at functional and strategic levels.
  • Proven ability to establish and maintain effective working relationships.
  • Effective organizational, prioritization, time management, and project management skills with attention to deadlines.
  • Intermediate proficiency in Microsoft Office Suite

Preferred Qualifications

  • Bachelor’s degree or higher.
  • Experience in higher education credentials evaluation
  • Experience in higher education awarding and/or auditing tools and processes
  • One year of experience working with student management systems such as Legacy, PeopleSoft, Banner or other database systems.
  • Ability to speak, read, and/or write in a second language; i.e. Spanish, Korean, or Russian.
