Summary of duties and responsibilities: The Coordinator, International Tourism provides administrative and operational support planning familiarization tours (fams) for the International Tourism department at Visit Seattle. International tourism has traditionally been Seattle’s fastest growing segment of visitation. In recovering from the impacts of the COVID-19 pandemic, Visit Seattle is quickly rebuilding its presence globally. This position will be responsible for building and executing Seattle-based itineraries for members of media and travel trade from key international markets in effort to raise the global profile of the city and region as a world-class destination.

List of Essential Job Functions:

  • Collaborate with the Director and Tourism Manager(s) to build, execute and track creative travel trade and media fam trips to Seattle and Washington State.
  • Maintain an up-to-date record of local partner participation and fam attendees in Simpleview, the organization’s CRM.
  • Develop, maintain and utilize the information stored in Travefy, Visit Seattle’s itinerary building platform.
  • Communicate by phone, email and video chat with Visit Seattle’s international agencies to tailor each itinerary to the needs of the hosted guest(s) or group.
  • Assist in executing joint fam itineraries with industry partners at the Port of Seattle and State of Washington Tourism.
  • Produce and send service requests and/or leads to local contacts.
  • Prepare, track and deliver promotional items to local accommodations and businesses.
  • Track and enter in-kind expenses and billing related to fams.
  • Greet and escort individuals and groups as needed in Seattle and surrounding area. This may include hosting meals, providing information about the region and local partners and the rare overnight stay for itineraries outside of Seattle.
  • Prepare quarterly fam summaries from all markets.
  • Provide presentation support, as needed.
  • Other duties as assigned.

Critical skills and knowledge, education, and prior work experience:

  • 1-2 years of relevant administrative experience required with previous experience in travel planning preferred.
  • Familiarity with Seattle, King County and Washington State as a destination is necessary.
  • Consistently positive, “can-do” attitude and professional demeanor.
  • Friendly, affable and comfortable conversing with a variety of local and international individuals.
  • Experience with basic database software, data entry, CRM systems.
  • Exceptional communication skills, both verbal and written.
  • Able to effectively manage multiple projects and priorities in a timely manner.
  • Able to work well with a diverse range of people.
  • Able to work efficiently and accurately with minimal supervision.
  • Strong service approach with both internal and external customers.
  • Proficient in Microsoft Word, Excel and Outlook.
  • Must be able to speak, read, write and understand the primary language, English, used in the workplace.
  • Must be able to work the occasional night and weekend.
  • COVID-19 vaccination is a requirement of employment.
