Construction Accounting Administrator-

Reports To

Operations Manager, Accounting Manager

Job Overview

The Accounting Administrator assists & supports the Operations Manager and Accounting Management team in performing administrative functions such as assisting in transmitting of documents to/from Client/Subs/Suppliers/etc, perform daily accounting tasks such as monthly financial reporting, general ledger entries, and record payments and adjustments, monthly billings, assisting in subcontractor & supplier billings/invoices, and other tasks as assigned by the Office Manager or Project Manager.

Responsibilities and Duties

  • Assist with filing and mailing
  • Coordinate material procurement with vendors, field staff and office staff. Including timely delivery and cost management of all material orders
  • Set up, update and manage projects on ClickUp and G-Drive
  • Oversee subcontractor documentation and contracts
  • Follow up with all project vendors and project owners as needed
  • Understand, request and file subcontractor’s Certificate of Insurance
  • Complete city business license applications, log and track receipt of licenses
  • Assist project management team and accounting manager with data entry
  • Project Insurance Management
  • Petty Cash Management
  • Regular Account Reconciliation
  • Perform extensive data entry to ensure all financial data is input into accounting software
  • Process invoices, checks, and payroll accurately and on time and resolve any invoice issues
  • Process all lien documentation associated with payments made to vendors and ensure all payment documentation is filed prior to payments being made
  • All other duties as assigned

Qualifications

  • Education Requirement- High School Diploma
  • 5+ Years of accounting experience in the construction industry
  • Exceptional organization, analytical, problem solving, and communications skills are important
  • Familiarity with construction accounting concepts and best practices
  • Proficient with Microsoft Office, Excel, QuickBooks Online and Yardi
  • Lien Management Familiarity

Job Type: Full-time

Pay: $25.00 - $30.00 per hour
