Employee will float between our Rockwall and Garland locations at a 50/50 split. Candidates must be ok with commute to both locations.

This position is an extension to the Practice Administrator. The Office Supervisor is available on site daily to supervise and support physicians and staff. The Office Supervisor will provide leadership and facilitate the daily operations. Ensure coverage and manage upset patients.

You will provide management support for office staff and physicians, plan and direct office workflow, prepare reports, coordinate on-call for physicians, create weekly schedules, order supplies, procurement, reconcile medications, handle patient complaints and maintenance of office equipment.

Preferred Experience (highly desired but not required)

  • Urology and/or Ob/Gyn
  • NextGen or similar EMR's

Function

Brief Description

Back up Clinical and Front Desk Check in/out-Help daily overflow back office and with check in/out, scan, schedule diagnostics, answer tasks, schedule new patient referrals. Oversee and train new front desk and clinical staff. Work emails from billing office

Monitor inventory high dollar medications-Verify billing and payments for expensive medications/procedures performed in the office. Manage Monthly Cubix drug controls and Reconciliation report.

Generate monthly/weekly reports for Admin to review-Generate reports to monitor missing charges, missing notes, no show reports, pqrs, MU, paq for Administrator to review.

Maintain employee files, attendance records and payroll.

Order Front Desk/Clinic supplies Manage inventory for front desk supplies and printed products. Monthly orders for Henry Schein lab supplies.

Supervise daily operations and report to Admin-Cover Administrator when out of the office and communicate all staffing and patient issues. Osha, Clia, Hipaa documentation management.

Back up Triage-Assist call center with patient calls and hospital calls that cannot wait.

Train staff on any new changes, front desk policies, procedures, and equipment. Provide training for new hire patient coordinators

Perform Monthly Audits for Admin to review

Audit 15 charts per employee per month and track for admin. Retrain as needed.

Annual Clia Site Audit visits.

Assist Admin with special task

Assist Admin with implementing new and changes to policy and procedures.

Assist with other locations.
