Truliant Financial Advisors (TFA) is looking to add a Client Relationship Supervisor to the team. The Client Relationship Supervisor is responsible for the direct supervision of the TFA Sales Assistants and Coordinators to enhance operations, supervise the referral process, manage the account review program, promote a positive working environment, and encourage engagement among staff for accountability and performance so that TFA delivers a positive, memorable Member experience. The Client Relationship Supervisor (CRS) will also perform administrative and operational support functions to support the TFA Program and improve the efficiency and productivity of existing TFA Financial Advisors.


Essential Functions and Responsibilities

  • Leads and manages the daily operations of the Sales Assistants and Coordinators, which includes performing ongoing coaching, delivering performance reviews, and approving bi-weekly timecards.
  • Supervises the Financial Advisor client servicing process. Ensures the screening of calls for Financial Advisor by the Sales Assistants and Coordinators as needed; handling client questions and servicing issues as needed.
  • Reviews client account set up and monitors trade activity for accuracy. Supervises the placement of trades, completion of trade tickets, and monitors for settlement.
  • Oversees account transfers, either through individual requests or block transfers, ensuring advisors have the proper licensing and that transfers are complete.
  • Supervises the processing of paperwork for annuities and life products.
  • Monitors paperwork submissions for accuracy and completeness through BTR process. Follows up with advisors, clients, or home office staff to clear BTRs within acceptable timeframes.
  • Supervises and monitors progress for program campaigns, such the completion of RMDs or repapering.
  • Accesses and reconciles CFS reports pertaining to GDC, AUM and adjustments. Monitors adjustment reports to ensure Truliant receives credit for contracted items as well as for advisor error corrections or other unusual adjustments. Helps Program Manager in preparing the yearly budget items.
  • Serves as initial point of contact for CFS’s regional compliance officer. Researches and participates in complaint process, credit union member surveys, and branch audits.
  • Establishes and maintains client files to meet compliance requirements.
  • Ensures the Unio client database is kept up to date, including clean-up and merging of duplicate records, updates to closed clients, book segmentations, review date management, creation, and updates of tasks, uploading of bulk campaign records, etc.
  • Champions Truliant’s paperless / imaging initiative at TFA. Works with advisors to adopt and implement remote delivery capabilities including WebEx, DocuSign, and Secure Email.
  • Attends available trainings and reviews documentation for any new technology features within the CFS environment (Unio, Docusign, Clear 1, etc.) to stay up to date with functionality. Works with the TFA team to implement and use these features effectively.
  • Monitors Financial Advisor’s appointment capacity and usage, reports to the Director weekly.
  • Oversees the advertising compliance submissions, revisions, and renewals. Ensures that all materials being produced by the program (emails, campaigns, website, training, seminars, etc.) are pre-approved and recorded properly with CFS’s compliance system, including any follow up reporting for any incentive program, campaign promotion, etc.
  • Serves as SME/Stakeholder representative for any credit union projects that affect TFA. Plans and oversees various TFA projects to ensure they are delivered in the desired fashion and on time, keeping project documentation and performing project management tasks as required.
  • Creates and updates documentation for TFA processes and policies, including employee changes, campaigns, technology, processing efficiencies, and report generation.
  • Serves as the department’s primary contact for Business Continuity Planning; maintains the Cloudworks website with all procedures and documentation to ensure a smooth transition in case of an incident; serves as a main point of contact for the TFA department to ensure information is disseminated in a timely manner. Participates in the yearly BCP audit.
  • Compiles data for reporting and data analysis purposes into an easily understood format; maintains records for campaigns, incentives, contests, etc. Compiles information for credit union audits, including BSA, vendor management, IT security and external auditors.
  • Serves as backup and support to the Program Director of TFA, including analyzing performance data, resolving member issues, developing the annual budget, interviewing candidates, developing marketing plans, etc.


Other Duties and Responsibilities

  • Assists with other tasks and projects as assigned.
  • Performs administrative duties as needed to accomplish departmental goals, including filing, making copies, preparing paperwork, ordering supplies and mailing letters.
  • Serves as back up for all Coordinator Positions (sales assistant and scheduling) and Program Director as needed.


Knowledge, Skills, and Abilities

    • Must have excellent communication skills in English, both verbal and written
    • Must have intermediate level skills with MS Office, including Excel, Word, and Outlook
    • Must have the ability to work with people at different job levels ranging from senior managers to front line employees
    • Must be able to effectively implement / leverage technology and all other available investment tools and resources to provide member-clients an exceptional experience on a consistent basis.
    • Must possess strong customer service skills
    • Must have ability to understand all business processes within the credit union
    • Must be a self-starter with initiative, persistence, and drive to follow through and complete tasks
    • Must be able to complete all assignments with minimal supervision
    • Must be detail oriented, with excellent time management and organizational skills
    • Must be able to work in a general office environment
    • Must be flexible and able to shift resources and priorities as required
    • Familiarity with investor programs required
    • Should possess a strong commitment to providing excellent service to Truliant’s members


Physical Requirements

  • Occasional standing, walking, bending, and stooping required
  • Must be able to sit at a desk for long periods of time and use a computer
  • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds


Education and Background

  • High School Diploma required; college degree preferred
  • Minimum of 3 years previous administrative experience required
  • Must currently have Series 7 & 66 License (or equivalents) or have the ability to obtain Licenses as required by the CFS contract
  • Previous Supervisory experience required
  • Working knowledge of both brokerage and insurance products, terms, functions, suitability, and compliance aspects preferred
