The University of Iowa Hospitals & Clinics, department of Internal Medicine is seeking a Part-Time (50%) Clerk III to under general supervision, perform and coordinate document center work. Examine and evaluate data according to established guidelines/standards. Responsible for the preparation and processing of duplication and production job requests using digital, networked, high-speed equipment. Duties involve the use of personal computers, computer terminals, scanners, and network distribution and archive system, along with a variety of software programs.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

Operate, maintain, adjust digital networked, high-speed duplicating and poster production equipment. Prioritize work schedules and maintain a high level of customer satisfaction.

Provide high level customer service, assessing needs, acquiring necessary clarifications on requests, and adjusting expectations on deadlines.

Maintain awareness of University and College branding guidelines so that customer materials meet their needs as well as required specifications, when appropriate.

Manage duplicating and poster production machines within the department including repair requests and supplies.

Monitor and maintain appropriate level of stock and supplies used by administration services.

Maintain records of daily production, billings (payment of services), and other records related to processing duplication and production orders.

Maintain charge back account information on all departmental photocopiers and provide accounting with monthly copy totals on all departmental photocopiers.

Assist with the purchase and leasing of copying and fax machines for the department.

Examine, evaluate and verify reports, purchase orders, invoices and vouchers for accuracy and completeness.

Assist with the coordination of various departmental functions including “Research Day” and Employee Appreciation Day and other recognition events.

Assist with supervision of student employee performing a variety of tasks including duplication and production.

Follow general policies and procedures in accordance with the regulations of the University of Iowa, the College of Medicine and the Department of Internal Medicine.

Perform other duties as assigned.

SUPERVISION RECEIVED

Supervision is received from the Director of Communications.

Required Qualifications:
Any combination of related clerical office experience, related undergraduate education, and/or post high school clerical training that is the equivalent to two years of full-time employment

Desired Qualifications:

One year of clerical experience, or an equivalent combination of training and experience from which comparable knowledge and abilities can be acquired.

Proficiency in Microsoft software applications including Word, PowerPoint, and Outlook is highly desired.

Proficiency in Adobe software applications including InDesign and Illustrator is highly desired.

Proficiency with general office equipment including printer, fax and copier is highly desired.
