The Business Unit (BU) of the Business and Finance team within Informational and Educational Technology (IET) Operations, is the administrative arm of IET. The BU provides a wide range of business services including accounting and billing. IET has an operating budget of over $60M annually and has a throughput of material expenses, including pass-thru costs for other campus departments. JOB SUMMARY

Under general supervision of the Information and Educational Technology (IET) Business Unit Supervisor, this position provides business support to IET departments. Performs routine accounting and financial services duties including posting encumbrances, accounts payable, budget control, problem solving, account reconciliations, data entry, interfacing with vendors, clients and various campus entities (e.g. SSO, Central A/P, Travel, etc).

Prepares and summarizes information and reports. Assists with ensuring that financial processing functions, including accounts receivable, purchasing, recharge billing and travel/entertainment are performed accurately and that daily operations run efficiently. Ensures financial transactions performed are compliant with applicable campus and division-wide policies. Manages physical and electronic documentation, record requests and issues in the ServiceNow Business Management ticketing system.

QUALIFICATIONS

Required:

  • Experience applying basic knowledge of financial or accounting concepts, processes and procedures.
  • Experience using an enterprise-level electronic financial transaction system (e.g. accounting systems, procurement systems, invoice and travel payment systems).
  • Experience reviewing and approving financial transactions that involve multiple accounts, multiple approvals and multiple vendors.
  • Experience using interpersonal, customer service and written communication skills to convey financial information/processes/policies to non-financial staff.
  • Knowledge of financial data management and reporting systems.
  • Skill to objectively review and evaluate data/information, make timely decisions and multi-task in a high-volume environment.
  • Proficiency in the use of spreadsheet and database software.

Preferred:

  • Experience with UC and UC Davis policies and procedures on purchasing, travel, communications, and recharging/billing.
  • Experience using enterprise accounting systems to perform billing, recharge activities, and collection of delinquent accounts.
  • Experience processing inter-departmental and inter-campus billing for goods (materials and equipment), services and labor.
  • Experience reviewing, identifying, and correcting accounting errors that involve revenues and billing credits/reversals.
  • Experience independently conducting research on policies and procedures to resolve issues related to the job.
  • Knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Troubleshooting skills to diagnose minor technical issues as they relate to billing systems.
